SCS Engineers in Ontario, CA, is seeking an Administrative Assistant to support our Field Services Business Unit. You should be proficient in using Word, Excel, PowerPoint and Microsoft Teams and possess good data entry and proofreading skills. We are looking for a team player who is detail oriented, can take direction, and work independently. This position has flexibility for a balance of in-office and remote work, so a hybrid schedule.
How you can make an impact:- Opening and sorting vendor invoices and statements.
- Completing Accounts Payable (A/P) Vouchers. Including checking for appropriate back-up documentation, obtaining proper authorization for payment, and checking past-due balances. Turning in A/P vouchers to corporate accounting twice each month.
- Responding to A/P back-up files and purchase order files.
- Assisting in ordering miscellaneous office supplies.
- Assisting in checking timesheets and expense reports.
- Turning-in check requests to corporate.
- Assisting in research for justification of and/or corrections to Project Detail Reports.
- Assisting in the maintenance of the file storage records system.
- Setting up lunch meetings, telephone conference calls and occasional errands.
- All other miscellaneous duties as assigned.
- Associate's Degree preferred.
- Minimum of 2 years of related administrative experience required.
- Advanced Word and Excel skills required; other Microsoft Suite skills preferred.
- Proficiency with Adobe Acrobat.
- Database experience is a plus.
- Ability to work cooperatively with others and manage deadlines.
- Ability to communicate orally and with written communication required.
- Valid driver's license with a driving record in good standing required.
