About the Department
Processes and records documents relating to real estate transactions, enters recorded documents into the computer, assists and conducts searches of records, makes copies of requested documents and charges appropriate fee for services. Processes marriage license applications and provides notary public services when required.
This is a part-time position (16 hrs. weekly, each Monday and Friday).
- Salary upon hire is step 1 $24.15/hour.
- The Office Assistant III (Recording) is range 10 of the General (Non-Union) salary schedule.
Position Duties
Receive and process documents using automated recording program, entering applicable information for indexing recorded documents. Collect appropriate fee for services.
Process incoming mail; copy and record checks in receipt log; post outgoing mail.
Assist the public with research and records retrieval. Make certified or non-certified copies of requested documents.
Balance daily fees collected and reconcile cash and checks with receipts. Prepare daily deposit to Treasurer when necessary.
Complete document indexing in recording software application and perform error audit on data.
Perform public Notary services as requested.

Minimum Qualifications
Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical path to obtain the required qualifications would be:
- High school diploma or equivalent.
- At least 1 – 3 years experience.
- Bi-lingual (Spanish) ability preferred.
Requires knowledge of:
- Computer software
- General office procedures
- Basic accounting procedures and concepts
Requires the ability to:
- Communicate effectively with co-workers and members of the public
- Understand and follow written and verbal instructions
- Use 10-key adding machine and computer keyboard
- Use various general office machines including copy machine, microfilm reader, and fax machine
- Type 65 w.p.m. with reasonable accuracy
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
Work is performed in an office setting and may require long periods of sitting.
Occasional lifting up to 40 pounds and ability to sit and stand for long periods throughout the day.
Hazards:
Those present in a normal office environment, including use of computer keyboard for up to 7 hours per day.
