I. Job Summary

Responsible for scheduling and pre-registering outpatient procedures/tests.
Obtains and verifies patient demographic and financial data and assures that all
necessary pre-authorizations and referrals are obtained prior to scheduling and exam/procedure.
Ensure that all aspects of the scheduling/registration process is done in accordance with
all federal, state and hospital regulations. 

Must be able to prioritize workload and meet the needs of the patients, physicians and co-workers. Must be able to deal with multiple tasks while monitoring perspective of the primary job function. Presents a very professional and calm disposition with all customers while maintaining optimum level of patient confidentiality.

Applies knowledge to solve routine and operational problems with minimal guidance.

II. Duties And Responsibilities

  • Responsible for all pre-registrations of all scheduled procedures/tests.
  • Ensures that all procedures and testing meet all medical necessity requirements.
  • Responsible for maintaining and promoting patient confidentiality at all levels with patient and their family members.
  • Must have excellent telephone and verbal communication skills and be able to communicate effectively with patients, their families and all levels of employees, Medical Office staff, Nursing personnel and Ancillary staff.
  • Coding of applicable physician orders to ensure billing compliance.
  • Able to work with outpatient testing services staff and coordinate scheduling with those departments.
  • Assists with other special projects assigned by Patient Financial Services Director.

  • Accountable for presenting a professional image of the hospital to ALL customers. 
  • Reports to work on time and as scheduled.
  • Wears hospital identification while on duty with clear visibility of badge info. 
  • Complies with requirement for clocking in and out for daily work schedule. 
  • Represents the organization in positive and professional manner.
  • Complies with all organizational policies regarding ethical business practices. 
  • Communicates the mission, ethics and goals of the facility.
  • Follows proper line of communication outlined in facility organizational plan.

III. Education

High School diploma or equivalent. 

IV. Qualifications And Experience

Language Skills

  • Ability to communicate in English, both verbally and in writing.
  • Excellent presentation and interpersonal skills.
  • Additional languages preferred.

V. Physical Demands

Must be able to do the following on a constant, ongoing basis:

  • Hear and comprehend face to face and telephone conversations.
  • Visual acuity to sufficiently complete forms and read instructions.
  • Give and receive simple and complex instructions.
  • Concentrate and remember various job duties.
  • Solve problems ranging from simple to complex.
  • Grasp pen or pencil for long periods of time for writing and recording. 
  • Train relief employees as needed to assist with responsibility of the position.

VI. Working Conditions

Work performed in a well-lighted, heated and cooled environment with a high level of activity, interruptions and stress. This is a high-traffic area which requires higher levels of concentration to obtain accurate and correct information. Must be able to properly manage and assist customers who are occasionally in compromised health conditions. This contact could potentially include exposure to infectious and/or contagious disease.
