The Department Coordinator is responsible for ensuring the efficient daily operations of the Department of Pan-African Studies (PAS), supporting its academic mission and public-facing programs. As the department’s primary full-time staff member, the Coordinator works closely with the Chair, faculty, students, and campus partners to manage internal operations, academic processes, events, communications, and student support services. The role requires strong administrative skills, discretion, professionalism, and the ability to collaborate effectively across academic and community contexts. This is an 80% FTE position (30 hours/week).
Duties may include:
Office Administration
Assist with day-to-day office operations, including ordering supplies, scheduling, communication, and file organization.
First point of contact for students and visitors; respond to inquiries via phone, email or in-person.
Serve as liaison to Physical Plant and campus facilities staff for maintenance requests and space management.
Help ensure that departmental offices and shared spaces remain clean, safe, and welcoming.
Track minor repairs and coordinate service requests related to technology, furniture, or environmental needs.
Participate in trainings and administrative meetings as needed.
Academic Support
Assist the department Chair with departmental calendar, correspondence and scheduling meetings, courses, and classroom reservations.
Assist with faculty recruitment logistics and onboarding activities.
Assist with preparation of faculty work plans, and performance reviews in accordance with university guidelines
Maintain student files and departmental databases for both undergraduate and graduate programs.
Coordinate logistics for departmental events, presentations, workshops or special initiatives.
Assist students with forms, deadlines and general program information.
Financial Support
Work with the A&S Business Center to process procurement requests, vendor payments, and monthly ProCard reallocations, following established financial policies and procedures.
Assist with basic budget tracking.
Compile enrollment and event participation data.
Other duties as assigned.
