Payroll and Benefits Coordinator

School Administration Building

M-F from 8:00 AM - 4:30 PM 

37.5 hours/week 12-months/year


Qualifications:

  • Bachelor's Degree in Business Administration (concentrating in Finance, Accounting, or similar field) preferred
  • Certified Payroll Professional (CPP) preferred
  • Considerable experience in the Payroll field
  • Accounting experience preferred
  • A comparable amount of training and experience may be substituted for the minimum qualifications   
  • Effective attention to detail 
  • Ability and willingness to work under pressure of recurring deadlines, such as payroll week (biweekly) and during peak periods (such as year end)
  • Ability to prioritize is essential
  • Excellent written/verbal communication and organizational skills
  • Aptitude for numeric calculations and interpretations
  • 10-key by touch
  • Technology savvy-knowledge of financial software programs and strong Microsoft Excel skills

RESPONSIBILITIES: The following list is intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude the candidate from the position if the work is similar, related, or a logical assignment to the position.

  • Process biweekly payroll, reconciling timesheets received with backup and entries in the payroll systems.
  • Ensure accurate recordkeeping of all leave taken by all staff, assist school staff with correct accounting of time and adherence to all contracts and policies.
  • Make necessary payroll adjustments regarding pay, benefits, deductions, etc.
  • Maintain a high degree of accuracy in payroll, benefit and attendance records for employees, including accrual awards, pay rates, transfers, promotions, taxes, insurance, dues, retirements and annuities.
  • Work collaboratively with district departments and personnel to obtain and provide information, resolve discrepancies, and correct any possible payroll issues or errors. 
  • Prepare, process, and record specialized payroll and benefits transactions related to workers’ compensation, insurance, unused vacation, retirement incentives and other related items. 
  • Coordinate the preparation, distribution, and reporting process for all payrolls.  
  • Ensure the payroll deduction payments and reports are disbursed timely and accurately. 
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Handle all unemployment claims and employee verifications.
  • Work with representatives of government, employee unions, and retirement agencies to provide information and complete forms, as needed.
  • Work with Human Resources in maintaining district wide personnel systems.
  • Ensure the accuracy of insurance deductions and handling of workers’ compensation cases.
  • Process special requests, such as tax levies and garnishments. 
  • Become knowledgeable of the union and non-union contract provisions for faculty and staff.
  • Provide technical and functional leadership in the use of the payroll and attendance systems, including troubleshooting and providing technical assistance and training to users.
  • Manage employee self-service payroll functions, such as online pay stubs, address changes and tax changes.
  • Establish, maintain, and communicate payroll calendars and deadlines.
  • Investigate and resolve problems relating to all areas of responsibility, gather and analyze information and take proper course of action.
  • Cross train to fill in for other members of the Business Office team, as needed.
  • Attend meetings and training as required.
  • Maintain confidentiality.
  • Recommend new efficiency improvements.
  • Other duties as assigned by the Assistant Director of Finance & Operations, Director of Finance & Operations, and the Superintendent of Schools.

 

Salary:  In accordance with non-union contract
