Starting Salary Range: $41,944.00 - $49,927.00
JOB DESCRIPTION:
Under direct supervision, perform routine or repetitive specialized clerical duties in maintaining financial records and performing accounts payable and accounts receivable tasks; perform routine or repetitive duties following clearly prescribed standard practices involving the application of readily understood rules and procedures; provide general administrative support to four divisions, including Finance & Accounting, Budget & Purchasing, Information Technology (IT), and Facilities Management.
EXAMPLES OF WORK TO BE PERFORMED:
- Collect, review, code, and process purchase card receipts in compliance with organizational policies.
- Enter purchase requisitions; review, code, and enter accounts payable invoices for vendor payments.
- Maintain vendor records.
- Prepare and mail accounts receivable invoices and track payments.
- Record payments and help track outstanding balances.
- Review and classify financial data and verify mathematical computations.
- Maintain accurate files, records, and documentation.
- Perform data entry and general office duties such as copying, scanning and filing.
- Assist with scheduling, correspondence, and other support needs as assigned.
- Provide back-up support to the Purchase Card administrator and other Finance staff as needed.
- Assist with bank statement reconciliations for all City bank accounts. Research variances and recommend correcting entries, including close monitoring of returned checks receivables.
- Ability to assist in other activities and special projects as needed or directed.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- High school diploma or equivalent required.
- Working knowledge of office practices and procedures.
- Ability to use a posting, adding, or calculating machine.
- Strong attention to detail and organizational skills.
- Ability to work independently as well as part of a team.
- Ability to understand and apply established rules and regulations to the maintenance of financial records.
- Ability to learn quickly, multi-task, and provide support across multiple divisions.
- Good communication and customer service skills.
DESIRED TRAINING AND EXPERIENCE:
- Associate’s degree in accounting, finance, business, or related area preferred but not required.
- Experience with accounting software is preferred but not required.

The physical requirements of this position
- Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
The visual acuity requirements including color, depth perception, and field vision.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
