OPEN UNTIL FILLED Additional Information: Show/Hide - Coordinates the office operations for the Superintendent's Office. Provides leadership in developing office procedures and improving operations.
- Uses Google Docs, word processing, spreadsheet, and presentation software to compose and edit correspondence, documents, reports, memos, and minutes from handwritten drafts, notes, dictation, or general direction.
- Maintains Superintendent's appointment calendar using district applications. Schedules appointments and meetings; reviews and prioritizes mail; responds or distributes as appropriate. Makes travel and lodging arrangements for the Superintendent and Board members.
- Provides support for the Superintendent's connections with the community, staff, and partner organizations. Schedules meetings, prepares agendas and materials, and advises the Superintendent of action items and follow-up needs.
- Facilitates communication with parents, families, and the general public. Receives and responds to inquiries, provides information regarding District services and processes, resolves concerns when possible, or directs individuals to the appropriate administrator or manager.
- Maintains files of confidential personnel and legal matters.
- Monitors and reconciles Superintendent's Office and School Board budgets; identifies and researches discrepancies; coordinates correction of problems. Processes budget expenditures, reimbursements, and related transactions.
- Develops annual Board meeting calendar in compliance with legal requirements; develops meeting agendas using BoardDocs software; attends Board meetings and prepares minutes. Coordinates identification of topics and preparation of materials for Board study sessions; prepares schedules for study sessions and Board hearings. Ensures compliance with Open Public Meetings Act notice requirements for all Board meetings.
- Coordinates record retention and retrieval of Board minutes and other documents; ensures Board minutes and resolutions are maintained in compliance with audit requirements.
- Updates Superintendent and Board district web pages.
- Oversees district communications and public relations: manages official district social media accounts, maintains and updates the district website and mobile app, prepares and distributes family and community communications, and ensures consistent messaging aligned with district values and goals.
- Coordinates outreach strategies to engage families, staff, and community partners in District programs and events; drafts press releases, newsletters, and communication pieces as needed.
- Bachelor's Degree or higher required.
- Demonstrated history of progressively responsible work experience, showing growth in responsibility, problem-solving, and leadership.
- Prior school district or public sector experience preferred.
- Knowledge of general accounting and budget principles.
- Skill in identifying problems, collecting data, establishing facts, and drawing valid conclusions.
- Skill in solving practical problems with a variety of variables.
- Ability to accurately analyze budget data and identify and resolve discrepancies.
- Ability to learn, understand, and apply laws governing School Board meetings, activities, and the Washington State Public Records Act (RCW 42.56), which establishes requirements for responding to and managing public records requests.
- Ability to manage all aspects of public records compliance, including records retention, request tracking, and redaction.
- Knowledge of communications, media relations, and digital engagement strategies, including website content management, social media platforms, newsletters, and mobile app communications.
- Technologically savvy, with the ability to quickly learn and use digital tools and platforms; experience with programs such as Canva (or similar design tools) to create professional-quality communication materials.
- Ability to compose clear and concise correspondence, press releases, memos, and minutes using appropriate business communication style.
- Ability to craft public-facing messages that are professional, transparent, and aligned with District goals.
- Ability to compile and organize data into effective format for presentation.
- Ability to communicate effectively with District staff, families, media representatives, and the general public using tact, courtesy, and diplomacy.

Wage/Step Zero: $89,270 to $108,820 depending on experience

JOB SUMMARY: Administrative Assistant to the Superintendent - The Administrative Assistant to the Superintendent provides confidential support to the Superintendent and School Board, oversees district communications and community outreach, and serves as the District's designated Public Records Officer in compliance with the Washington State Public Records Act (RCW 42.56).

REQUIRED QUALIFICATIONS: Education and Experience
WORKING CONDITIONS: Office environment; requires visual concentration on details, dexterity and precision; experiences frequent interruptions; must meet frequent deadlines. Required to work occasional evenings.
PHYSICAL DEMANDS: Ability to sit for prolonged periods. Frequently required to stand, walk, use fine hand and finger movements (keyboarding), and reach with hands and arms.
