Job Summary
This role is responsible for providing governance and oversight on all contract requests entering the Service Transition and Contract Management processes, ensuring accuracy and compliance. It requires ongoing engagement with these departments to stay aligned with evolving requirements, processes, procedures, and systems. The position involves tracking and managing CDW’s service agreements, ensuring they are created, amended, and renewed efficiently and on time, while also facilitating customer billing for these agreements. In addition, the role will focus on building strong relationships across multiple internal business areas to support collaboration and effective delivery.

What you will do

  • Manage incoming contract requests (CRECs), carrying out compliance checks and ensuring all required details are accurate and complete.

  • Raise purchase orders to suppliers where required and load contract lines into Dynamics GP, including internal notes and updates.

  • Ensure contracts are processed daily so they are ready for the end-of-day billing run.

  • Accurately input all contractual information into the system, set up billing schedules, and create customer welcome packs with signatures obtained.

  • Manage a busy shared inbox on a rota, ensuring timely responses to contract queries, invoice requests, and error investigations.

  • Liaise with internal departments (Sales, Finance, Services) to confirm contract details and resolve discrepancies.

  • Support ad hoc reporting requirements across Finance, Legal, Credit, and Service Delivery teams.

  • Provide cover and support during peak periods, including month, quarter, and year end.

What we expect of you

  • Acknowledge emails and requests within 24 hours and respond proactively.

  • Ensure no requests remain open for longer than 5 days without justified reason.

  • Perform all compliance checks in line with SOX and financial requirements, including accurate VAT rate identification.

  • Maintain high attention to detail to avoid cost impacts to CDW or customers.

  • Demonstrate strong organisation skills to balance contract loading, billing preparation, and inbox management.

  • Be proactive and solutions-focused, consistently seeking the next task and driving progress without waiting to be assigned work.

  • Show resilience and flexibility, especially during busy billing periods and at month end.

  • Uphold CDW standards of governance, accuracy, and customer service in every activity.
