Details of the role

Working pattern: Monday – Friday. This is a full time, 8 months fixed term contract on the Crick terms and conditions of employment.

About the role

What you will be doing

The position of Finance Operations Co-ordinator is a key role in the Finance Operations team, part of the Finance Operations team.

Your main responsibility will be to process and pay supplier invoices received by the Crick, ensuring that payments to suppliers are made promptly whilst also ensuring that all paid invoices meet the organisation’s governance requirements.

You’ll have the opportunity to develop your finance knowledge by getting involved in other tasks within the team, such as processing customer sales invoices ensuring prompt delivery to Crick customers and subsequent credit control to ensure payment is received within terms, as well as processing tasks including expense claims and supplier & customer setup validations.

Collaboration is key to the Crick, and this role has a strong emphasis on customer service and building strong relationships. You’ll be working closely with colleagues in science and other Operations teams, as you will often be working together to resolve queries effectively and efficiently.

While you don’t need to be a fully or partially qualified accountant, you will need to be detail-oriented, proactive, and confident managing multiple tasks independently in a fast-paced, deadline-driven environment. Your ability to take initiative and manage your workload effectively will be key to supporting the overall success of the Finance function.

As a Finance Operations Coordinator some of your key responsibilities include but are not limited to:

  •  Registering high volumes of purchase invoices (circa 5,000 per month), matching to purchase orders and checking the accuracy of the invoice content and coding.
  • Reviewing of staff expense claims in line with the organisation’s Travel & Expenses Policy.
  • Checking and registering non-staff expense claims for payment and one-off payments.
  • Reconciliation of accounts to supplier statements.
  • Providing first line support for all Accounts Payable queries, ensuring timely resolution and communication.
  • Prepare BACS payments and ensure all remittance advice documents are sent out correctly, that rejections are dealt with and that items on hold are followed up.

About you

You should have:

  • Experience of working in an Accounts Payable function, with a proven track record in a similar, high volume processing role.
  • Good communication and interpersonal skills both written and oral, able to engage with people at all levels both internally and externally.
  • Ability to work accurately with attention to detail, multi-task and meet tight deadlines. Good organisational and problem-solving skills.
  • A good team worker, willing to be flexible and take on a range of activities and looking to learn and develop within the role.
  • Highly IT literate with sound MS Office skills.
