We are looking for a Payroll Manager in the Shared Services team to lead the LATAM payroll operations. The Payroll Manager focuses on collaborative leadership of Payroll Specialists and is responsible for managing all aspects of payroll processing and systems, audit and delivery, ensuring accurate and timely payroll execution while adhering to policy, regulations and compliance requirements.
* This is a hybrid position – the successful applicant is required to be on-site a minimum of three days weekly.
Responsibilities
Principal Accountabilities include, but are not limited to:
Plan, manage, execute, and approve day to day payroll deliverables, with direct managerial oversight for the NA payroll function and team to ensure compliance with policies and procedures as well as support fiscal and regulatory compliance while protecting people related payroll data.
Lead, mentor, and develop a team of Payroll Specialists in preparing and processing, compliant and timely monthly payrolls for 9+ entities in LATAM in ADP Streamline and eXpert.
Complete tax remittances / government reporting to meet regulatory compliance.
Perform and lead audits and reviews, develop and establish payroll audit procedures and reviews to ensure compliance and accuracy, investigate payroll incidents, perform root cause analysis, and implement process improvements.
Partner effectively with HR, IT, Finance, and other functions to ensure appropriate flow of data and reporting.
Using HR’s portal and case management system (ServiceNow HRSD), responsible for queue management, end-to-end handling of escalated cases, driving case closure and providing exceptional customer service.
Manage payroll vendor relationships, including selection, negotiation, consolidation, and ongoing management. Ensure vendor accountability in meeting service level agreements, responsibilities and on time delivery of services.
Lead payroll projects, focused on integrations, implementations, process improvement, system maintenance and centralization.
Identify opportunities to streamline and automate current processes for efficiency and implement improvements through technology and change initiatives.
Create SOPs, establish best practices and document payroll processes and procedures as required within a shared services framework.
Oversee payroll-related aspects of vacation accruals, leave tracking, and absence management.
Oversee accurate integration of time and attendance data into payroll systems.
Manage payroll implications of employee lifecycle events and benefits-related deductions.
Maintain compliance with local labour laws and tax regulations across LATAM.
Implement internal controls to ensure payroll integrity and mitigate risks.
Qualifications
Bachelor’s degree desired in a related field or equivalent combination of work experience and education.
Proven payroll knowledge and experience in managing end to end payroll for multiple LATAM countries (includes year-end payroll close).
Proficiency in English, Portuguese and Spanish is required.
Experience in a senior payroll supervisory position leading people.
Managing the payroll function through a shared services delivery model an asset.
Proficient in multi-country, state/province payroll processes are required.
Proven track record of successfully managing vendor relationships, including performance monitoring, and issue resolution.
Strong digital dexterity, technical expertise and understanding of payroll systems.
Experience with Oracle and ADP systems an asset.
Excellent planning and organizational skills to meet deadlines with proven ability to manage competing priorities.
Key focus on customer service, peer relationships and collaborative leadership.
Ability to maintain a high degree of discretion, diplomacy and confidentiality.
Ability to manage workload effectively during peak periods or tight deadlines.
