Job Summary: The Steadman Philippon Research Institute (SPRI) Events Manager will support and serve as a representative external presence through development and implementation of community relations and company events. In addition, the Events Manager will coordinate and manage the implementation of local and regional education events and seminars.
Major Job Responsibilities/Essential Functions:
· Schedule and coordinate SPRI events and conferences. This includes managing the relationship and activities with external vendors and event partners and negotiating agreements with vendors to ensure lowest cost and highest quality of service.
· Determine fiscal requirements and manage event budgets including the collection and review of receipts and coordination of payment.
· Coordinate event environment and manage the execution of events onsite, including unpacking materials, setting-up and disassembling event materials if applicable.
· Analyze event operations, facilitate debrief meetings, and prepare and implement recommendations for improving operational efficiencies within the events.
· Create and maintain guidelines for invitation criteria for all events.
· Analyze invitation criteria and attendance trends to identify appropriate invitees for all events.
· Supervise invitation production, mailings lists, mailing, and response tracking and coordinate the flow of information regarding events.
· Assist with securing sponsorship and manage sponsor relationships. This includes ensuring timely renewals and continued sponsorship/partnership growth year over year.
· Represent SPRI at community events and other relevant social engagements.
· Maintain positive and productive relationships with internal departments that are participating in the various events.
Requirements
· Five or more years’ experience coordinating external events for a small to medium-size corporate/organizational events, including coordination of off-site group meetings or events.
· Experience coordinating moderately complex projects that include working with outside vendors.
· Highly effective project management skills.
· High level of customer service orientation.
· Ability to move and set-up exhibit materials and equipment, weighing up to 40 lbs.
