Administrative Support Professional

Work Location: Huntsville, AL

Schedule:  Full Time 40 hours per week; 8 hours per day in office (remote work is not authorized)

Relocation:  Negotiable

IronMountain Solutions, Inc. has an opening for an administrative support professional to provide support to the Project Manager, employees and sub-contractor employees of the Aviation Turbine Engines Project Office.  Candidates must have the ability to obtain and maintain an active Secret level security clearance. 

Responsibilities:

  • Carry out recurring office procedures independently, performing a variety of administrative functions including supporting ATE level operations and greeting visitors.
  • Maintain a close and highly responsive relationship in the day-to-day activities of the supervisor and staff.
  • Process travel authorizations, prepare travel packets, and generate travel vouchers for signature.
  • Plan, schedule, and coordinate meeting requirements, invite attendees and schedule a location.
  • Prepare and print material for presentations and meetings, coordinate conference attendance requirements and prepare leadership packets.
  • Maintain external email distribution lists, spread sheets, meeting schedules, maintain contact information rosters and employee databases, and manage the internal calendar.
  • Coordinate farewell events and awards for departing team members.
  • Maintain ITEP’s MS Teams channels, included but not limited to adding and removing members.
  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use tools or controls; normal physical activity (reach with hands and arms; climb stairs); and communicate effectively with all levels of employees and leadership. The employee must occasionally lift or move office products and supplies, up to 25 pounds. 

 Education and General experience:

  • Must have a BA/BS degree and three (3) years of experience or an associate degree and four (4) plus years of relevant work experience or six (6) years of relevant work experience.
  • Experience coordinating and processing government travel, required.
  • Previous experience in a government project office is preferred but not required.
  • Strong organizational and planning skills.
  • Excellent verbal communication skills; high attention to detail.
