Position Summary:

The Administrative Associate will be responsible for maintaining accurate and efficient digital records of scientific studies and related documentation. This role ensures compliance with data retention policies and supports timely access to information for both internal and external needs.

Key Responsibilities:

  • Perform daily archival scans to maintain up-to-date digital records.

  • Scan and process the backlog of studies requiring shipment to clients.

  • Digitize internal data (e.g., Chemical Usage logs, archived studies) and securely destroy non-study documents in compliance with retention requirements.

  • Scan and appropriately dispose of logbooks older than seven years in accordance with company policies and regulatory standards.

  • Serves as back-up to the building receptionist as needed.

Skills & Qualifications:

  • Strong attention to detail and organizational skills.

  • Ability to manage and prioritize multiple tasks.

  • Familiarity with document management systems and scanning equipment (preferred).

  • Knowledge of records retention policies and compliance practices (a plus).

Term of Employment:

This is a temporary position expected to last approximately six (6) months. The need for the role will be reviewed at the end of the term and may be extended, modified, or concluded based on business needs.

Schedule & Benefits:

  • This position offers up to 40 hours per week; however, weekly hours may vary.  40 hours per week is not guaranteed.
  • This is a non-benefited position (no insurance or paid time off, except as required in accordance with state and federal laws).
