INTRODUCTION
A. This position is within various Raleigh Radiology facilities, free-standing outpatient imaging centers located in Wake County, N.C., and surrounding areas. Most daily work will be at the Blue Ridge Location.
B. The primary function of the Medical Records Supervisor at Raleigh Radiology is to oversee the daily operations of clerical departments within their assignment, ensuring that all patients and patient accounts are taken care of with the highest degree of quality and efficiency. Additionally, they will function as working team members within their department, leaders to clerical staff at all locations within the organization, and serve as a liaison between the clerical staff and senior leadership, physicians, and referrers.
C. The Medical Records Supervisor is responsible for the coordination of staff schedules and regulating workflow for efficient departmental operations; this includes approving PTO, ensuring coverage, and approving time sheets.
D. The Medical Records Supervisor's responsibilities include assisting in establishing/updating protocols, policies, procedures; assisting with hiring, training, performance evaluations, and disciplinary action plans; managing inventory usage and waste; and maintaining and scrubbing daily patient schedules.
E. This position requires a thorough understanding of clerical processes and procedures, as well as strong leadership and communication skills.
F. This position reports to the Associate Director of Physician Services.
H. Work Hours: Monday-Friday/ 8:00 am- 4:30 pm
II. MAJOR DUTIES AND RESPONSIBILITIES
1. Supervisory Duties
a) Oversee daily operations of the medical records department, including scheduling, staffing, and patient flow.
b) Aid as a clerical resource to all Raleigh Radiology staff.
c) Monitor daily productivity and quality outputs for direct reports, providing ongoing and real-time feedback to team members to ensure optimal performance.
d) Assist with the coordination of staff schedules.
e) Serve as a liaison for communication between radiologists, managers, technologists, and clerical staff when required.
f) Perform QA with clerical processes and protocols.
g) Participates in training new applications and assists in training clerical staff.
h) Establish, update, and maintain clerical protocols, policies, and procedures.
i) Assist with hiring, training, and performance management for direct reports.
j) Ensure accurate staff records are kept current and accurate for direct reports.
k) Manage resources to meet budgetary goals.
2. General Clerical and Patient Care Duties
a) Maintains standards of professional care and patient confidentiality.
b) Implement policies and procedures at Raleigh Radiology.
c) Perform clerical duties in a safe, efficient, and professional manner to include all required protocols.
d) Assists with patient education on the requirements needed before having an exam.
e) Participate in the economic utilization of supplies.
f) Assured work areas are always maintained and available for use.
g) Assists co-workers and physicians in giving care to patients.
h) Establishes and maintains open communication.
i) On regular, sustained basis, cooperates with other staff members both inside and outside the department in accomplishment of own job duties as well as assisting other in accomplishing theirs; serves as team player and role model for other employees in the organization, always exhibiting traits of courtesy, caring, helpfulness and respect; conducts oneself in service-oriented manner that is attentive, pleasant, cooperative, sensitive, respectful and kind when dealing with team members, visitors, public and all employees.
j) Performs other duties and accepts responsibility as assigned.
k) Engage with patients to ensure a positive patient experience.
Requirements
I. EDUCATION, EXPERIENCE, CERTIFICATION, LICENSURE
A. Education: High School Graduate. An associate's degree is preferred.
B. Experience: Minimum 3 years of medical office experience. Radiology office experience is a plus. At least 1 year in a supervisory role preferred.
