Position Overview:

The Scheduling Coordinator at OrthoArkansas is responsible for managing and coordinating the scheduling of injections, procedures, surgeries, consultations, and diagnostic studies for specific physicians. This role involves direct communication with patients, medical facilities, and insurance providers to ensure that appointments are scheduled accurately, insurance approvals are verified, and patients are well-informed about their upcoming procedures and follow-up appointments.

Key Responsibilities:

1. Scheduling Coordination:

  • Coordinate and schedule procedures, consultations, surgeries, and diagnostic tests by emailing or calling the relevant facility.
  • Call patients to confirm appointments and provide instructions for follow-up, procedures, and necessary preparations.
  • Notify referring physicians once appointments are scheduled to ensure coordinated patient care.

2. Insurance Verification:

  • Verify insurance authorization for procedures, surgeries, and diagnostic studies prior to scheduling.
  • Communicate with insurance providers as needed to confirm coverage, ensuring a smooth scheduling process for patients.

3. Patient Communication and Support:

  • Address patient questions regarding procedures, consultations, or surgeries, ensuring patients feel informed and prepared.
  • Provide clear instructions and education on what patients can expect and any preparations needed for their appointments.

4. Additional Duties:

  • Perform other related duties as assigned to support efficient scheduling and coordination within the clinic.

Qualifications:

  • Education and Experience:
    • High school diploma or GED equivalent.
    • 12 to 18 months of related experience and/or training, or an equivalent combination of education and experience.
    • Mental alertness and adaptability to office routines, with strong attention to detail.
  • Certificates, Licenses, Registrations:
    • Required: None.
    • Preferred: None indicated.
  • Skills and Abilities:
    • Excellent organizational skills with strong attention to detail for managing multiple schedules and patient appointments.
    • Effective communication skills to interact professionally with patients, physicians, and insurance providers.
    • Ability to answer patient questions accurately and educate them on appointment details and expectations.

Software Skills:

  • Intermediate: Database management, word processing/typing.
  • Basic: 10-Key proficiency.
