Summary

As part of the Ministry Operations team at The Austin Stone Community Church, the Front Office Associate (FOA) is the frontline of connection with visitors and staff and sets the initial tone for their experience at the office. The FOA will be responsible for providing administrative and front desk support. The Front Office Associate will report to the Office Manager. 

Essential Responsibilities

  • Sit at the front desk, greet guests and implement visitor management. 
  • Support ministries by answering phone inquiries and direct calls, and providing voicemail triage in a timely manner.
  • Process, sort, and route incoming and outgoing mail and deliveries. 
  • Organize and maintain the mailroom, workroom, copy areas, and facilities storage.
  • Manage [email protected] email and voicemails.
  • Distribute keys and support key management.
  • Support the communication and ongoing follow-up of maintenance needs between the POC and the maintenance team. 
  • Host external guests who are invited to utilize our spaces. 
  • Receive and restock orders, and organize the pantry.
  • Assist with team invoices and the church benevolence process, directing these things to the appropriate people.
  • Attend, when possible, events and activities for The Austin Stone, including all staff meetings, prayer meetings, special events, and staff development days.

Required Qualifications

  • High school diploma or equivalent required. 
  • 1 year of experience in customer service, handling office responsibilities or a related field, front desk experience, preferred 
  • Proficient computer skills

Anticipates needs of both visitors and staff, providing supplies, words, environments, and actions to create a positive customer experience. Able to actively listen to build rapport and establish trust. Able to look people in the eye while they talk. Able to communicate and work within a complex organizational structure with multiple layers of input. Demonstrates care and hospitality by engaging with people and having a warm and welcoming manner. 

Detail Oriented & Problem Solving Skills - Proven critical thinking skills. Shows attention to detail with processes and systems. Able to provide problem-solving support. Able to successfully develop new and better ways to work and promote a continuous improvement mentality. 

Collaboration - Collaborate across the organization and with various ministry partners. Ability to integrate multiple perspectives and synthesize them into a cohesive plan. 

Software & Technology - Skilled in the operation of computer systems including MacOS, Google suite, and word processing applications, such as MS Office suite of products. Proficient in data entry, data processing, and the use of communication tools. Experience with (or ability to quickly adapt to) multiple software platforms such as Church Community Builder, Slack, Asana, etc. Able to build confidence in support of technology tools.

  • Occasional lifting of objects, up to 25 pounds. 
  • Physical activity required to support restocking and mail room management.
  • Subject to standing, walking, sitting, bending, reaching, kneeling, pushing and pulling.
  • Manual dexterity and coordination are required over 50% of the work period while operating equipment such as a computer keyboard, mouse, and similar machines.
