Position Summary:

The Clinic Administrator is responsible for the overall operations, administration, and financial performance of the clinic. This role ensures efficient day-to-day operations, quality patient care, compliance with healthcare regulations, and the development of a positive and productive work environment. The Practice Administrator serves as a key liaison between providers, staff, and executive leadership.

Key Responsibilities:

Operations Management

  • Oversee the daily administrative functions of the practice.
  • Develop and implement workflows, policies, and procedures to improve efficiency and service quality.
  • Ensure the practice is adequately staffed and that schedules are managed to optimize patient flow.
  • Coordinate facility management and ensure a safe, clean, and professional work environment.

Financial Oversight

  • Prepare, monitor, and manage the practice’s budget and financial performance.
  • Analyze and report on financial metrics including revenue, expenses, and profitability.
  • Oversee billing and collections processes to ensure timely and accurate reimbursements.
  • Collaborate with finance to implement cost-containment strategies and maximize reimbursement.

  

Patient Relations & Quality Assurance

  • Promote excellent patient service and resolve patient complaints or concerns in a timely manner.
  • Monitor patient satisfaction and implement strategies for continuous improvement.
  • Support quality improvement initiatives and accreditation efforts.

Provider Support

  • Serve as the primary administrative contact for physicians and providers.
  • Facilitate communication between providers and administrative staff.
  • Assist with scheduling, reporting, and operational support for clinical care delivery.

Qualifications:

  • Bachelor’s degree Business Administration, or related field preferred).
  • 3+ years of experience in medical practice or healthcare operations management.
  • Working knowledge of EHR systems, practice management software, and medical billing practices.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to handle sensitive and confidential information with discretion.

Working Conditions:

  • Standard office setting within a clinical environment.
  • May require occasional evening or weekend work based on operational needs.
  • Must be able to manage multiple priorities in a fast-paced environment.
