About the Role: We’re seeking a proactive and detail-oriented Scheduling Manager to join our team! This key role is responsible for managing field labor scheduling and personnel logistics across multiple projects and branch locations. Key Responsibilities:
Field Labor Scheduling & Assignment
- Create and maintain real-time master schedules for field personnel to ensure project staffing coverage for ongoing and upcoming projects for multiple branch locations.
- Assign employees to projects based on qualifications, skill sets, certifications, availability, and project needs.
- Monitor schedule changes daily and resolve conflicts or labor shortages promptly.
Personnel Documentation & Tracking
- Oversee accurate tracking and submission of field hours, per diem, and drive time for payroll processing.
- Ensure timely and compliant reporting of payroll-related data to the payroll department
- Manage the onboarding process for new field employees, including coordinating orientation, requirement documentations, and safety compliance.
- Maintain employee assignments, training records, and certifications in the company’s field management system (e.g., Field Flo).
- Track performance evaluations and performance documents.
Logistics & Travel Coordination
- Arrange and manage hotel, lodging and travel for field personnel through corporate travel accounts.
- Track and adjust accommodation based on project timelines and staffing needs to control efficiency and cost.
- Coordinate with project teams to anticipate upcoming lodging and transportation needs.
Communication & Collaboration
- Act as the central point of contact for scheduling between project managers, supervisors, branch managers, and field employees.
- Provide proactive updates on scheduling changes, labor allocation and resource conflicts.
- Work closely with Operations and Office Managers to align scheduling decisions with overall project and branch needs.
- Generate reports on labor assignments, workforce trends, and travel logistics.
Required Qualifications:
- Experience in scheduling, workforce planning, or project coordination (construction or environmental services preferred).
- Strong organizational and problem-solving skills.
- Proficiency in scheduling software; Field Flo or similar platforms preferred.
- Excellent communication and interpersonal skills (bilingual preferred)
- Ability to manage multiple priorities in a deadline-driven environment.
Preferred Qualifications:
- High school diploma, bachelor’s degree in business administration, Construction Management, or a related field preferred.
- Familiarity with environmental abatement, demolition, or construction industries.
- Knowledge of OSHA and workforce compliance requirements.
Additional Information:
- Supervisory Responsibilities:
No direct reports, but authority over labor assignments impacting field operations. - Work Environment:
Primarily office-based with regular interaction with field teams. Occasional travel to project sites or branch offices. - Physical Demands:
Frequent computer use; occasional site visits requiring walking or standing in construction environments. - Work Schedule:
Standard business hours; occasional extended hours during project peaks or urgent staffing needs. - Travel:
Limited travel as needed.
