Position: Executive Administrative Assistant
Job Classification: Non-Exempt
Reports to: CEO
Summary:
The Executive Administrative Assistant provides support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Responsibilities and Duties:
• Provide high-level administrative support and assistance to the CEO, COO and/or other assigned leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
• Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
• Acting as a liaison between the executive and other staff, external agencies, and stakeholders.
• Maintaining confidential information and managing complex records and filing systems.
• Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
• Draft, proofread, and distribute emails, memos, and other correspondence handling on behalf of the executives.
• Support the mission of Child Development Centers, Inc. through engaging in positive communication with parents, families, and community members.
• Will require travel between Erie County centers.
• Other duties as assigned.
• Adhere to all CDC policies and procedures as set forth in the policy manual.
Qualifications/Requirements:
• Minimum of a High School Diploma or equivalent
• One to three years of experience in a high-level administrative role
• Must possess or obtain required state and federal background clearances
• Excellent verbal and written communication skills
• Strong interpersonal skills
• Ability to work both independently and collaboratively
• Must possess excellent organizational and time management skills
• Proper attendance is required. Employees are expected to arrive on time, every day, able and available to work.
Physical Requirements:
• Must be able to stand for long periods throughout the workday with intermittent periods of sitting, walking, and occasional bending, twisting, stooping, reaching and grasping as necessary to carry out essential job duties.
• Dexterity requirements range from coordinated movements of fingers and hands to simple movements of feet, legs, and torso as necessary to carry out essential job duties.
• Lifting and carrying of children and/or objects up to 50 pounds.
