Position Summary
The NBA's Corporate Services team is looking for a proactive and highly organized Project Coordinator to support our meetings, productions, and internal events. This role is perfect for someone who thrives in a fast-paced environment, has excellent coordination skills, and brings a sharp eye for budgeting and actualization.
You’ll work closely with senior leadership to ensure flawless execution of projects—from tracking costs and managing timelines to collaborating with vendors and legal teams.
Major Responsibilities
Budgeting & Actualization
- Manage and track project budgets from start to finish
- Actualize costs and ensure timely payment of all vendors
- Handle contract execution, insurance (COIs), and legal paperwork
- Reconcile expenses and close out jobs with accurate reporting
Project & Event Coordination
- Schedule meetings, coordinate travel, and book accommodations
- Organize and ship supplies, equipment, and merchandise
- Prepare crew lists, scripts, rundowns, and production documents
- Maintain production calendars and final documentation archives
Event & Shoot Support
- Support event execution and quality-control AV setups
- Attend site visits, vendor meetings, and pre-production walkthroughs
- Complete shoot paperwork and coordinate with Facilities and Legal
- Assist with staffing, logistics, and on-site coordination
Process & Performance Improvement
- Schedule and run post-project recap meetings
- Maintain organized files and improve standard operating procedures
- Research new vendors and streamline internal workflows
- Submit and track all invoices and expenses
Required Education/Professional Experience
- Bachelor’s degree in Film, Communications, Marketing, Event Management, or related field (preferred)
- 2+ years of experience in project coordination, production support, or event logistics
Required Skills/Knowledge Attributes
- You’re a natural project manager—detail-oriented, efficient, and collaborative
- Strong budgeting and cost-tracking skills
- The ability to juggle multiple deadlines and priorities
- A flexible, team-first attitude with a proactive mindset
- Excellent communication and organizational skills
- Familiarity with production/event workflows and cross-functional teamwork
- Proficiency in Excel, Word, Google Docs, and budgeting tools
Salary Range: $32.50/hour
