Our Team and Opportunity

To join the Personal Investor Operations team, who oversee our third-party vendors supporting our operational activities. Our partners range from listed and unlisted share registries, platform administrator, custodians, brokers, and banking providers, for Vanguard Australia’s retail, super and intermediary channels. 

In this role, you will have the opportunity to participate in the development, implementation, and administration of various Operations strategic initiatives, with a direct focus on ensuring a positive client experience. You will also actively participate in the oversight and management of numerous outsourced vendors.  

Reporting to the Manager, Platform Oversight and joining a broader team of Personal Investor Operations professionals, the Associate, Platform Oversight will be responsible for supporting in the evolution and implementation of the control management framework and collaborating with business partners to ensure a robust control framework is in place and maintained.

Core Responsibilities

  • Support the Platform Oversight team by applying subject matter expertise and a depth of knowledge around the activities that support the integrity of the Platform operations. 
  • Independently identify and resolve complex operational issues.
  • Oversee operating procedures, monitor operational metrics, and ensure the team delivery of accurate and timely processing based on daily goals. 
  • Develop team processes and procedures to improve operational effectiveness.
  • Contribute to the design, implementation and performance of  control activities in support of compliance with regulatory and platform obligations.
  • Provide assistance and training support as needed to recognise and develop other crew members.
  • Foster an inclusive team environment driven by open communication, teamwork, and accountability.
  • Advocate and support a culture of continuous improvement, coupled with providing the foundational support for effective change management in line with new ways of working.
  • Establish and maintain effective working relationships with external clients and business partners that include third party vendors.
  • Working as  a partnership with third party vendors, proactively foster effective communication, providing feedback, action items and enhancing our oversight controls for outsourced vendor relationships.
  • Work flexibly, participate in special projects and perform other duties as assigned, including support and cross-training within the Personal Investor Operations division.

What we are looking for

  • Demonstrated experience in Investment Operations, Registry and/or Oversight Functions will be highly regarded.
  • Demonstrated ability to think critically and make informed decisions
  • A proactive attitude towards building and managing stakeholder engagement.
  • A desire to learn, ability to self-direct work and eagerness to contribute to team success
  • Team Player with strong client service focus and good interpersonal skills.
  • Demonstrated experience effectively communicating with internal and external stakeholders, within a dynamic and fast-paced environment

Specialisations that will make an impact

  • Experience in and sound knowledge of the investment management industry.
  • Experience in Platform and Registry process flows is highly desirable.
  • Understanding of fund structures, financial instruments, regulatory environment, and funds industry.
  • Familiarity with or experience in Business Continuity Management procedures.
  • Familiarity with risk management concepts and internal control operations would be highly regarded.
  • Undergraduate degree in a related field or relevant experience in a similar role.
