Job Objective:

Provide administrative support to the Director of Sales and Sales Manager; perform duties as Sales Assistant including processing orders, typing quotes, along with other clerical functions.


Essential Job Duties:

  • Process quotes as necessary; process incoming orders, make copies of prints and quotes and distribute to proper personnel.
  • Downloading and annotating customer prints.
  • Compose and type correspondence from outlined information received verbally or from written data
  • Establish and maintain files; have material available as required
  • Correspond with customers
  • Make and schedule appointments, travel arrangements, etc.
  • Prepare, maintain and distribute reports or other data as required
  • Maintain area, records and files in neat, orderly condition.
  • Observe all company policies, rules and regulations including good housekeeping, safety and security.
  • Perform other duties as required, assigned or directed.

Job Specifications:

  • Above average attention to detail. Accuracy is extremely important in this role.
  • Knowledge of standard clerical procedures - typing, filing, distribution, computer usage and office software
  • Able to fill out and maintain standard company forms
  • Ability to operate office equipment
  • Must act on own initiative, use judgment in clerical functions
  • Excellent communication and interpersonal skills
  • Must exercise tact and discretion in all contacts
  • Excellent attention to detail and accuracy
  • Ability to deal with various executives, customers, and officials tactfully and effectively
  • Ability to coordinate activities and schedules and offer administrative support to various departments
