About This Role
Are you a motivated, mission-driven leader who is passionate about making a difference in participant care? If so, this is an exciting opportunity to join our team as the Clinic Scheduler Supervisor.

In this role, you’ll ensure that myPlace PACE participants have timely access to the high-quality healthcare they deserve by leading the scheduling and coordination of both internal and external clinical visits. You’ll supervise and support a team that plays a vital role in the participant experience — from initial and annual assessments to emergency visits and specialty care appointments.

Beyond scheduling, you’ll also provide hands-on clinic support, ensuring processes run smoothly and efficiently while upholding the highest standards of service. Your leadership will help create a supportive, organized, and participant-focused environment, where every detail contributes to better care and a better experience for those we serve.

Base pay is based on several factors including but not limited to education, relevant work and industry experience, certifications, and location of the role. Onsite roles include appropriate geographic adjustments, while remote roles are typically priced off national pay data.

What Does Success Look Like As Our First Supervisor?
  • Lead, guide, and inspire your team – You’ll supervise, train, and mentor the scheduling team, ensuring everyone is supported and working in alignment with policies, procedures, and service standards.
  • Keep the daily flow running smoothly – You’ll monitor scheduling workflows and reassign tasks as needed to balance workloads, meet participant and clinic needs, and ensure responsibilities are distributed fairly.
  • Manage team coverage with care – From overseeing schedules and time-off requests to tracking attendance, you’ll make sure the team stays covered while honoring organizational policies.
  • Champion compliance and integrity – You’ll ensure scheduling practices are always aligned with HIPAA, CMS, DHCS, and organizational standards.
  • Raise the bar on quality – Regular audits of scheduling accuracy, timeliness, and documentation will help you ensure everything is running at the highest standard.
  • Build strong processes together – Partnering with Clinic Leadership, you’ll help design and maintain scheduling protocols, workflows, and escalation pathways.
  • Support growth and performance – You’ll provide meaningful feedback, conduct evaluations, and create opportunities for your team’s professional development.
  • Keep participants on track – You’ll schedule internal and external appointments and make sure end-of-day processes are consistently completed.
  • Streamline critical requests – You’ll assist with daily scheduling functions to process pre-authorizations and approved referrals smoothly.
  • Coordinate care beyond the center – You’ll work with Transportation Coordinators and the Home Care team to ensure participants get to external appointments without a hitch.
  • Communicate with clarity and consistency – You’ll share appointment schedules with the Interdisciplinary Team and Clinic Staff, keeping everyone informed.
  • Bridge leadership and operations – Acting as a liaison between the Center Director, Clinic Staff, and Transportation Coordinators, you’ll make sure communication stays seamless.
  • Resolve issues with confidence – As the first point of escalation, you’ll address conflicts, participant concerns, or operational challenges head-on.
  • Leverage technology for success – You’ll collaborate with IT/EMR support to troubleshoot system issues, test enhancements, and optimize scheduling workflows.
  • Keep participants informed – You’ll ensure they receive clear reminders of their clinic and outside appointments.
  • Support enrollment success – You’ll coordinate with the Enrollment Team to schedule and support Level of Care assessments with Registered Nurses, onsite or offsite.
  • Document with accuracy and detail – You’ll ensure all information is properly captured in the EMR, Care Management System, or scheduling software.
  • Contribute where needed – You’ll step in with additional duties as assigned to support the success of your team and participants.


  • What Does An Ideal Candidate Look Like?
  • Education that sets the foundation – A High School Diploma or GED is required.
  • Hands-on scheduling experience – At least 3 years coordinating appointments in a clinical setting and 2 years of experience in a clinic-related role.
  • Understanding of senior care – At least 1 year of experience working with the frail elderly population.
  • Leadership potential – Supervisory experience is strongly preferred, but if you’re ready to grow into leadership, we’d love to support you.
  • Tech-savvy with healthcare systems – Experience working with electronic medical records is required.
  • Extra clinical expertise (a plus!) – Certified Medical Assistant credentials are preferred but not required.
  • Strong people skills – Excellent communication, interpersonal, and problem-solving abilities to connect with participants, families, and colleagues.
  • Calm under pressure – The ability to make independent decisions and remain composed during emergency situations.
  • Collaborative spirit – A willingness to work effectively with a variety of team members and departments.
  • Detail-oriented and organized – Strong organizational skills to manage multiple priorities with accuracy.
  • Bilingual advantage – Fluency in both English and Spanish is required.
  • Prepared for emergencies – Proof of current CPR/BLS certification is required, or you must be willing to obtain one within 30 days of hire.
