Job Title: Documentation Specialist III
Location: Malaga, NM
Schedule: Monday–Friday | 40 hours per week
We are seeking an experienced Documentation Specialist III to coordinate between the Project Team (PT) and Operations for documentation handover in support of operations planning, start-up preparations, and long-term operations. This role ensures that all documentation deliverables from Contractors and Suppliers meet company requirements and are properly managed within the electronic document management system (EDMS – UDocs). The ideal candidate will have strong experience in document management, operations support, and oil & gas facility requirements.
- Coordinate communications between PT and Operations to plan and execute Documents for Operations (DFO) schedule and processes
- Ensure company requirements for DFO are clearly understood by PT, Contractors, and Suppliers
- Support identification of start-up, integrity-critical, and ready-for-operations deliverables
- Plan and conduct DFO workshops, training, and refresher sessions with PT and Contractors
- Provide guidance and resolve DFO-related queries and deviations
- Monitor and report on PT progress for DFO reviews, contractor turnover, and handover to Operations
- Identify documentation gaps, deficiencies, and provide resolutions; report issues to Information Management Lead
- Transmit early and final deliverable information packages to Operations
- Conduct DFO internal audits (PT) and external audits (Contractors/Subcontractors) to ensure compliance and resolution of findings
- Ensure progressive loading of all final DFO drawings and documents into EDMS (UDocs)
- Proactively identify risks that could impact documentation quality, cost, or schedule and escalate as needed
- Bachelor’s degree in technical or engineering discipline preferred
- Strong experience in operations and/or project technical support with focus on document management
- Expert-level proficiency in Information Management systems and tools
- Understanding of documentation requirements for operating oil and gas facilities
- Experience supporting Production, Refining, or Chemicals operations
- Strong communication and interpersonal skills with ability to influence without direct authority
- Proven ability to manage complex document workflows, deadlines, and stakeholder requirements
