THIS A/P SPECIALIST POSITION IS LOCATED IN OUR SANTA CLARITA, CA HEADQUARTERS OFFICE. THIS IS NOT A REMOTE POSITION.
SUMMARY/OBJECTIVE:
The A/P Specialist will participate in the full-cycle accounts payable process which includes reviewing, entering, and issuing payments in a timely and accurate manner to subcontractors for work done at assigned projects.
ESSENTIAL JOB DUTIES:
- The A/P Specialist assists in reconciliation of vendor accounts to resolve discrepancies promptly.
- Maintain accurate coding of project expenses and adherence to company budgets.
- Review project and corporate invoices for accuracy and necessary documentation. Enter invoices into Newstar Enterprise (ERP system) and acquire necessary approvals prior to payment. Issue checks immediately upon funding and approval.
- Assist with preparing checks, electronic payments, and expense reimbursements.
- Review and reconcile monthly T&E workflow reports.
- Compile invoices and scan for bank draws as needed. Maintain files on SharePoint.
- Review company FedEx account/billing. Use Excel spreadsheets to break down costs per project. Enter each project cost into Newstar and issue payment. Notify management of anything odd or any excessive spending.
- Maintain project files for all original invoices, releases, etc.
- Monitor A/P aging and follow up with Purchasing on status of A/P items over 90 days as well as vendor chargebacks.
- Assist the Accounting team with special projects/research as needed.
- Supports A/P Clerk, when necessary, with incoming checks received, deposits to appropriate bank accounts with the proper cost code and description. Maintain tracking file of deposits.
- Supports A/P Clerk, when necessary, with monitoring A/P and personal email inboxes, responding to inquiries or forwarding to the appropriate parties.
Requirements
EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES: A/P SPECIALIST
- High School Diploma, required. Associate’s degree, preferred.
- 1-2 years prior Accounts Payable experience required, construction field preferred.
- Proficient knowledge in MS Office Suite, Adobe, DocuSign, and Accounting software. Ability to learn company ERP system.
- Detail-oriented with a focus on accuracy and efficiency.
- Good listening skills, self-motivated, and team-friendly attitude.
- Ability to work collaboratively and build strong working relationships with internal and external customers.
- The A/P Specialist role requires the ability to work while functioning under the pressure of problem solving and managing time sensitive deadlines.
