We are currently hiring a full-time (40 hours/week) Regional Office Administrator in our Buffalo, NY office to work closely with regional and divisional leadership within the offices of our Great Lakes Region. This position is responsible for performing a wide range of assignments including: assisting with development, formatting and maintenance of technical documents; supporting marketing group with proposal preparation; maintenance of regional and divisional spreadsheets, expense reports, credit card statements and other records; reporting and documenting specific tasks as directed by regional leaders; assist in developing and maintaining the annual overhead office spending budget; interaction other offices within the region, and providing basic administrative support such as managing office mail, deliveries and supplies, answering phone calls, greeting visitors and other general administrative tasks. The ideal candidate must be able to resolve problems independently with minimal supervision and interact with people on all levels including managers, staff, and clients.
Duties:
· Provide broad administrative support to regional leadership and staff with technical document preparation, formatting and control, organizing events, scheduling meetings, making travel arrangements and preparing and maintaining correspondence, reports, and presentations.
· Assist with onboarding and orientation of new staff members.
· Managing deliveries into and out of the office, including daily US mail, and other courier’s services, including initiation and tracking of deliveries.
· Managing and organizing office inventory and ensuring adequate supply of office material for daily operations.
· Proof and review regional materials such as letters, proposals, and presentations.
· Support other offices within the region as necessary.
· Answer phone calls and provide a welcoming environment to visitors.
· Perform other duties to support the office as assigned.
· Managing the maintenance of office equipment.
Requirements
· Proficient in Microsoft Word, Power Point and Excel.
· Ability to work independently; be a self-starter with excellent anticipation, prioritization and follow up skills.
· Strong interpersonal skills
· Excellent communication skills, both written and verbal.
· Attention to detail, proof reading, and accuracy is essential.
· Flexibility in adapting to changing priorities and managing multiple tasks simultaneously.
· Minimum of 5 years of experience working in a similar or related position.
· Bachelor’s degree in business management or equivalent experience preferred.
Salary Range: $60,000 - $65,000
The specific salary offered may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.
