JOB DEFINITION

Manages the safe and economical operation and maintenance of the organization's fleet and heavy equipment. Oversees DOT compliance and reporting as it relates to the fleet. Develops and implements vehicle and equipment preventive maintenance programs. Manages fleet department budgets. Develops and maintains outside vendor and service provider relationships.

 

ESSENTIAL JOB RESPONSIBILITES AND DUTIES

The essential duties and responsibilities are listed below.  Other duties may be assigned.

 

  • Analyses maintenance costs and provides recommendations on fleet utilization and replacement
  • Oversees planning, acquisition, maintenance, repair & disposal of fleet assets
  • Tracks fleet usage and maintains accurate inventories of equipment
  • Assists in the development of maintenance budgets by providing input relative to policies, costs, established metrics, and projections
  • Collaborates with the management team to create a strategic plan for performance improvement measures to maximize savings
  • Ensures the maintenance records for all fleet and heavy equipment assets are accurate and up-to-date
  • Manages vendor negotiations and vendor performance to contract requirements for the Fleet / Mechanical department
  • Manage all fleet and heavy equipment recalls and tracking of repairs
  • Assesses risk and safety issues to ensure safe and efficient repairs to fleet and heavy equipment assets
  • Undertakes any reasonable training that is required as business needs change, including training for current or new duties as well as the periodic reassessment of existing certifications
  • Ensures compliance to all policies, procedures, Standard Operating Procedures (SOP), with recommendations for action and continuous improvement 
  • Provides leadership and effective communication to management, fleet managers and executives
  • Communicates maintenance requirements to ensure maximum efficiency and implements corrective actions as required
  • Collaborates with other departments on cross-department initiatives
  • Holds operational meetings with managers on a routine basis and as required
  • Ensures that Fleet / Mechanical department employees are achieving specified objectives and performance targets
  • Monitor overall compliance with local, state, and federal requirements relating to the operation, preventive maintenance and special conditions of pupil transportation fleet vehicles
  • Develop and maintain fuel product program; ensure audit and reporting are accurate and timely
  • Maintain all truck licensing, registrations and permits
  • Coordinate sale of surplus fleet assets, ensure all applicable regulations and procedures are followed in executing sales
  • Provide responsive high quality service to executive board and leadership team, representatives of outside agencies, and complete and up-to-date information in a courteous, efficient and timely manner
  • Follow all company policies & procedures, including safety guidelines/standards

 

 

 

Qualifications


QUALIFICATIONS AND REQUIREMENTS

Age Requirements:

  • Employee must be at least 18 years of age for general landscaping responsibilities and to operate power equipment, and meet all applicable state-mandated labor laws.

 

Experience:

  • A Bachelor degree from a recognized college or university with a major in Mechanical Engineering preferred but not required
  • A Heavy Equipment Management or Fleet Management qualification preferred but not required
  • Minimum of five (5) years of experience that includes heavy equipment and fleet management, mechanical maintenance, preventative maintenance, budget administration, contract management, and tendering procedures, with a minimum of two (2) years of experience in a senior level role
  • Valid commercial driver’s license. Must meet all internal and local regulatory requirements to operate trucks and other equipment used within six (6) months of employment
  • Thorough knowledge of principles, practices, tools, equipment and materials for vehicle and equipment maintenance and fleet management
  • Solid understanding and workings of internal combustion engines of various fuel types
  • Thorough knowledge of hydraulic systems and components
  • Comprehensive knowledge of the principles and practices of fleet repair facility management, hazards and safety precautions of large scale operations, business practices applicable to fleet management, budget and accounting principles and procedures, and preventive maintenance inspection methods and procedures
  • Comprehensive knowledge of existing and proposed state, local and federal laws, regulations, rules, and standards affecting vehicle maintenance, inspection, and specifications
  • Skillfully manage multiple departments, including separate physical locations and subordinate supervisory personnel
  • Skillfully research and prepare technical specifications for vehicles and equipment and analyze data and prepare reports regarding a wide variety of fleet equipment

 

Certificates, Licenses and/or Registrations:

  • Valid driver’s license with required classifications and insurability based on company insurance requirements.
  • Best Management Practices (BMP) Certification, where required

 

Language Skills:

  • Effective oral and written communication skills
  • Strong reading comprehension
  • Bilingual (Spanish) a plus

 

Environment:

  • Work is performed primarily in an indoor office with time in shop
  • Occasional field environment with some travel from site to site
  • Occasional exposure to noise, dust, grease, smoke, fumes, airborne particles, toxic chemicals, noxious odors, gases, and all types of weather and temperature conditions;
  • Exposure to hazardous conditions; work and/or walk on various types of surfaces including slippery or uneven surfaces and rough terrain

 

 

Physical Demands:

  • While performing the duties of this job, the employee is regularly required to:
  • Have full range of mobility in upper and lower body in order to be able to work in various positions including, but not limited to, stooping, standing, bending over, sitting, kneeling, squatting, and walking for extended periods of time.
  • Be able to reach over head with hands and arms; climb or balance.
  • Be able to use hands and fingers to handle, or feel objects, tools, or controls.
  • Be able to lift, pull, and push materials and equipment to complete assigned job tasks.
  • Be able to lift and/or move up to 25 pounds regularly and occasionally lift and/or move up to 75 pounds.
  • Maintain physical fitness level necessary to complete assigned job tasks.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Be able to work in extreme weather conditions, including but not limited to extreme heat and cold.

 

Working Conditions:

  • Weekend or overtime hours may be necessary
  • Odd hours are a necessity during inclement weather seasons, if applicable
  • Occasional travel to out of state branches
