Duties and Responsibilities:
- Under the direction of the Assistant Athletics Director for Facilities and Events, the Athletics Facilities Assistant Special Events Coordinator is responsible for assisting UH hosted tournaments. The Assistant Special Events Coordinator is also responsible for assisting in any other hosting opportunities.
- Implements the tournament packets of Athletics hosted tournaments, both on and off campus, for all women’s and men’s sports but primarily for the women’s volleyball, soccer, golf, beach volleyball, basketball and softball sports.
- Assists with facilities and games management of UH home football games at Ching Complex.
- Responsible for being the liaison for visiting teams and coordinating needs during tournaments.
- Responsible for the procurement of vendors for team and individual awards for each tournament and coordinating presentation of awards.
- Responsible for communicating with all tournament staff, i.e. trainers, equipment, facilities, marketing, media relations, and ticket office and coaches during the tournaments.
- Serves as tournament manager and is present at all tournaments, both on and off campus.
- Serves as coordinator for all outer island contests.
- Coordinates practices with visiting teams and facilities scheduling officer.
- Ensures venues are safe and that all safety policies and procedures are followed, in place, and functional prior to each event.
- Responsible for coordination of parking permits for UHAD staff and coaches.
- Coordinates key card access system for Gym 1 and Gym 2.
- Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
- Maintain a collaborative and positive working relationships with administrators, coaches, student-athletes, vendors, and other college offices, and appropriate relationships with members of the media, donors, and other individuals interested in the sports programs.
- Know, recognize, and comply with the laws, policies, rules, and regulations governing the University of Hawaii and its employees, and the rules of the National Collegiate Athletic Association and affiliated conferences as now constituted or as may be amended in the future. Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees, students or others, have occurred or will occur.
- Performs other duties as requested by the Assistant Athletics Director for Facilities and Events management.
Minimum Qualifications:
- Bachelor degree from an accredited college or university.
- One (1) year experience with events management or any equivalent combination of education and experience.
- Ability to work cooperatively and effectively with people of diverse backgrounds.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Strong oral and written communication and presentation skills.
- Excellent organizational and time management skills.
- Ability to provide excellent customer service.
- Ability to prioritize, multi-task and meet goals in a fast-paced environment.
- Must be able to work nights, weekends, holidays as required.
- Valid First Aid/CPR/AED Certification
Desirable Qualifications:
- Experience with athletic tournament events management at the collegiate level
