$18.00 - $23.81The referenced pay range represents the minimum and maximum compensation for this job. Responsibilities:
GENERAL PURPOSEThe Outpatient Access Specialist will provide support to business lines in the Center for Nursing Entrepreneurship (CNE). This position requires an organized methodical approach for routine and non-routine duties, as well as the flexibility to prioritize duties and responsibilities based on meeting the variable operational of business lines such as Passport Health© and the Center for Employee Wellness. The position has direct interaction with the public and requires strong customer service and communication skills. This position will work closely with the nursing and administrative staff in ensuring efficient and accurate management of patient/ client registration, consent forms, record of payment, and data entry and management. The individual must demonstrate ability to work both independently and with the team.
ESSENTIAL FUNCTIONS
Appointment scheduling/phone coverage for Passport Health
- Answer multiple phone lines, respond to callers independently, schedule and update clinician calendars accordingly.
- Provide overview to clients of what to expect in a Passport Health consult, address questions regarding insurance, visit and vaccine costs, and basic travel information following CDC recommendations.
- Respond to callers with general questions regarding Passport Health services, previous visits, with detailed understanding of HIPAA requirements.
- Triages incoming clinic calls and appropriately routes them to the designated clinicians based on urgency and subject matter.
Reception – Passport Health and Center for Employee Wellness
- Provide daily coverage for reception; greet clients in professional manner, ensuring a positive experience; notify clinicians of client arrival.
- Manage requests for walk-ins, requiring knowledge of daily schedule and various program requirements; work with clinicians on duty to problem solve as needed.
Registration & Data Entry
- Obtain complete medical history over the phone; enter medical data into Medical Orders system for MD review.
- Verify all paperwork is completed.
- Collect payment following Passport Health visits; enter payment information into database.
- Prepare patient educational material for all visits
Daily Revenue and Deposit processing
- Process weekly and monthly deposits, reconcile daily visit revenue with cash, credit receipts and checks, management of Petty Cash fund. Works with Business Administrator to investigate and resolve any discrepancies.
Procurement and Purchasing Support
- Places supply orders for PPH/CEW; resolves supplier and department inquiries regarding the payment status of invoices, including researching and providing copies of documentation as necessary.
- Manages departmental PCard, including transaction reconciliation, submission of required documentation, and participation in monthly training sessions.

QUALIFICATIONS
- High School diploma required
- 1-year related work experience in an administrative office or customer service field; or an equivalent combination of education and experience required
- Medical terminology experience preferred
- Demonstrated ability to word process documents and enter data into a database preferred.
- Demonstrated skills related to achievement of customer satisfaction preferred.
- Demonstrates the ICARE values to patient, families and staff preferred.
- Ability to act as a resource to less experienced staff preferred.
