Summary: Responsible for directing, overseeing, and leading the maintenance and facilities team of the community. Reports to the onsite General Manager and participates in a variety of projects and works with contractors/vendors. Establishes and implements systems and procedures to manage daily operations and maintenance of the facilities effectively and efficiently.

Requirements

Essential Job Duties and Responsibilities:

  • Responsible for supervising and directing team members to achieve results. Provides guidance and direction to ensure overall departmental success. 
  • Participates in the hiring process by interviewing potential team members and selecting those that best meet staffing needs. Onboards and trains new hires. 
  • Follows all Human Resources policies and is knowledgeable of company policies and applicable employment and labor laws and ensures compliance within the team. Ensures staff receives required training and attends mandatory meetings. 
  • Ensures team members have current knowledge of processes and procedures to provide satisfactory client service. Keeps staff informed about policy updates. 
  • Monitors and develops team member performance, including supervision, scheduling, planning, employee engagement, and retention. Provides regular feedback, coaching, and performance evaluations while administering disciplinary action when needed. 
  • Along with General Manager, makes merit decisions within budget and/or established guidelines and reviews, monitors, and approves timecards for accuracy. 
  • Adheres to applicable safety standards and ensures that team members do the same. 
  • Acts as Project Manager for various projects and contractors, handling competitive bids and Requests for Proposals (RFPs). 
  • Oversees daily and ongoing maintenance within the community, including maintenance-related work orders and invoices. 
  • Works in concert with the General Manager, maintenance manager, staff, and resident directors. 
  • Ensures repair and maintenance of all community facilities, buildings, amenities, and systems, including HVAC, plumbing, electrical, roofing, lighting, IT/telecom, gate access, pools, sports courts, and storm drains. 
  • Manages the maintenance department budget, tracking expenses, and ensuring cost-effective solutions. Oversees accounting for maintenance credit card, Home Depot accounts, and other financial transactions. 
  • Prepares and submits the monthly maintenance report for review by management and board members. 
  • Coordinates insurance claims related to property damage or maintenance issues and works with vendors for timely resolution. Ensures compliance with city codes and HOA regulations, submitting permits and required documentation for facility projects. 
  • Oversees fleet maintenance, ensuring proper service schedules for maintenance vehicles. 
  • Tracks inventory of tools, equipment, and supplies, ensuring availability while managing costs. 
  • Monitors and evaluates long-term maintenance planning, including replacement schedules for major systems such as HVAC, roofing, and irrigation. 
  • Oversees fire protection maintenance, including sprinkler inspections, extinguisher tag updates, and hood system servicing, as well as compliance for water systems, well water testing, drinking water filtration, and backflow testing. 
  • Directs maintenance and servicing for HVAC systems, plumbing, water heaters, grease traps, and security gate access systems. Ensures timely upkeep of pool services, including inspections, cleaning, and chemical management. 
  • Manages pest control and termite prevention for the clubhouse and other community facilities. 
  • Oversees dance floor maintenance, radio compliance, and FCC licensing renewals. 
  • Ensures storm drain cleaning and compliance to prevent blockages and maintain infrastructure integrity. 
  • Oversees AED device maintenance and compliance, ensuring functionality and required inspections. 
  • Directs roof inspections, maintenance, and preventative care. 
  • Supervises court maintenance to ensure playing surfaces are in good condition and properly serviced.
  • Practices and adheres to Keystone’s Core Values, Mission, and Vision.
  • Any additional job duties as required by supervisor.

Qualification Requirements: 

  • Possess excellent leadership competencies, qualities, and experience
  • Project management experience
  • Experience in preparing scope of work and RFP for various projects
  • Knowledge in all facets of maintenance and facilities equipment
  • Excellent verbal and written communication skills. 
  • Organizational skills and the ability to prioritize
  • Ability to communicate with residents, co-workers, and management in a professional and courteous manner
  • Strong proficiency in Microsoft Suite programs (Word and Excel).
  • Must be able to multitask and have strong organizational skills.
  • Strong presentation skills. Ability to communicate effectively and efficiently in a public setting.
  • Must have a valid driver’s license and maintain clean MVR.

Education and/or Experience:

  • Minimum of 3 years of supervisory experience
  • 2 or more years of experience working in a maintenance related role.
  • High School Diploma or GED required
