The Front Office Specialist assists the health care and management team in a professional manner. This position serves as support to the front office Patient Service Representative (PSR) team and is responsible for clerical duties such as scanning, fax inboxes, mail distribution, and insurance verification. This position works closely with the Practice Manager and/or Office Coordinator to provide additional support, as needed, to the PSR’s, clinic and administrative team. This person will work with all health clinic personnel to ensure an efficient and safe environment of care.

Duties and Responsibilities

The Front Office Specialist performs the following duties as assigned.

  1. Provides clerical services.
    1. Reviews, distributes and manages fax inboxes and jellybeans as assigned for family and pediatric clinics
    2. Facilitate Home Health orders and documents requiring signatures of Providers with oversight responsibilities
    3. Document scanning
    4. Sorts, distributes and manages incoming and outgoing mail
    5. Verifies insurance coverage and benefits and gains referrals, when needed
    6. Prints chart reviews
    7. Answers telephone lines promptly
    8. Various secretarial duties.
    9. Order supplies, maintains adequate inventory of forms and distribute to appropriate areas
    10. Assists with special projects
    11. Assists with clinic reporting as needed 
    12. Participates as a team member and promotes teamwork by assisting others with patient care and department activities
    13. Demonstrates strong initiative to get daily work finished and processed
    14. Communicates effectively with patients, physicians, providers and others.
    15. Demonstrates accurate judgment
    16. Notify supervisor of any problems, in a timely manner and works to resolve said issues
  2. Acts as a Backup Patient Service Representative, when needed
  3. Fulfills other duties.
    1. Assists in maintaining an efficient, safe, secure, orderly, and aseptic environment of care for all patients and employees.
    2. Is familiar with and abides by OSHA Standards, Hazardous Materials, Universal Precautions, use of personal protective equipment, Evacuation, Fire, Disaster, and Safety Plans.
    3. If bilingual, translates in Spanish between non-Spanish speaking staff and Spanish speaking patients as requested.
  4. Performs all other duties as assigned.

Knowledge, Skills and Abilities

Required

  • Knowledge of protocols in general and an ability to quickly gain specific knowledge of the Clinic’s current operational protocols
  • Knowledge of medical terminology and appropriate abbreviations
  • Ability to read and comprehend short correspondence, and memos
  • Ability to document, with clarity, all information relevant to a patient’s needs
  • Ability to effectively present information in small group situations to patients, Clinic staff, and the general public. 
  • Ability to work cooperatively with community agency personnel  to coordinate services for patients
  • Ability to use  office equipment including but not limited to computers, fax machines, telephones and copiers
  • Ability to prioritize and allocate resources

Preferred

  • Spanish speaking and writing skills

Credentials and Experience 

Preferred

  • One (1) year of practice experience in a clinic office setting.

High School diploma or GED required.
