Assistant to the Regional Operations Manager
Housing Management Department

REPORTS TO: Regional Operations Manager
HOURS: Monday-Friday, 40 hours per week
PAY RANGE: $80,000-85,000 annually
BENEFITS: Medical, dental, vision, retirement, life insurance, long term disability insurance and sick leave are available to employees. Employees accrue 116 hours of vacation during the first year and receive 11 paid holidays. (Prorated for part-time employees).
POSITION TYPE: Exempt, Full-time
This position will work within the Housing Management team by providing professional-level administrative, operational services and will provide direct support to the Regional Operations Manager. This position will contribute to the effective operation of multiple sites by providing professional-level administrative and operational support to the Regional Operations Manager.
Responsibilities:
Work with the Regional Operations Manager to coordinate and supervise daily operations within the Housing Management Department.
Act as the point person for advertising apartment listings on sites such as Zillow and Craigslist.
Assist in generating and monitoring financials, outcome, and other program reports.
Pull reports and data on a regular basis.
Work collaboratively with Regional Operations Manager to ensure that administrative and operational procedures are well managed.
Schedule and conduct cross-department meetings, training, and functions to promote and support team-building among the staff across the entire portfolio.
Monitor and assist site staff with resources, events, and other projects.
Seek out, identify and arrange appropriate and as needed trainings for staff
Interface with the grants department to assist with grant applications, ensure adequate funding and compliance with reporting requirements.
Organize and execute simultaneous administrative and management projects at the direction of the Regional Operations Manager.
Manage the Regional Operations Manager’s calendar and schedule appointments as directed.
Assist the Regional Operations Manager with expense reimbursements, timesheet approvals, and other reports.
Participate in resolution and problem solving for tenants that cannot be solved at the property level. Escalate these to the Regional Operations Manager, as needed.
Other duties as assigned.
Minimum Qualifications:
Three years’ experience in property or program management or direct on site management.
Experience supervising staff, leading effective teams, hiring and evaluating staff.
Ability to travel and work at different sites in multiple counties throughout the Puget Sound.
Demonstrated ability to work with people with sensitivity to cultural and class issues, as well as people at varying skill levels in the technology realm.
Able to read, write and communicate in English with excellent verbal and written communication skills.
Demonstrated ability to work effectively with management, staff, volunteers, community agencies and the public.
Excellent computer skills including use of Microsoft Word, Excel, Zoom and GSuite.
Excellent organizational skills as well as high level attention to detail.
Experience with databases: entry, recording and reporting.
Ability to work in a fast-paced team environment and must have excellent time management skills.
Must have exceptional problem solving skills, be able to resolve conflicts, and ability to work effectively with difficult people.
Flexible and willing to work evenings/weekends when necessary, based on the resident's needs.
Good organizational and time management skills.
Preferred Qualifications:
Bachelor’s degree in property management/ human services field or any equivalent combination of education and experience.
Knowledge and experience in low-income programs, homelessness and community resources.
Experience compiling program reports for funders.
Other Requirements:
Must have a valid Washington State driver’s license and driver liability insurance.
Must have regular access to a reliable vehicle. Mileage is provided for travel between sites during shift
Must pass criminal background checks and drug screening tests.
Must pass a motor vehicle/driving record check.
