About the organization: Compass Family Services is a 100+ year old nonprofit working on the front lines of San Francisco’s homeless crisis. We provide families experiencing or at risk of homelessness with comprehensive support to address immediate needs and ensure long-term success.
About the Program: Adopt-a-Family connects generous individuals, families, civic groups, and corporate teams with Compass client families who lack the resources to buy holiday gifts. Donors shop from personalized wish lists for their adopted families. For many families, these gifts will be the only gifts they will receive during the holidays.
Compensation: $30 - $35 per hour. This is a non-benefit-eligible role.
Schedule: This is a temporary position that will run from October 1 – December 24.
- Oct. 1 - Dec. 5: mix of remote and on-site work, Mon. - Fri., 7.5 hours per day.
- Dec 8 - 24: on-site, 7.5 or more hours per day, 5-6 days per week. Schedule will include two weekend days, December 13 and December 20, which candidate must be available for.

What the Adopt-a-Family Project Manager will do: The Project Manager will help ensure the success of this year’s Adopt-a-Family by managing the process of matching Compass family wish lists to donors, managing all Adopt-a-Family data, and providing significant hands-on support with the implementation of the project, including helping to manage on-site donor drop off and client pick up of gifts. Specific responsibilities include:
- Review and format all Adopt-a-Family wish lists submitted by program teams and prepare them to be matched with donors.
- Create and manage the master donor list to track all matches with recipient families ensuring excellent record keeping. This list will be actively utilized by multiple team members and needs to be kept up to date consistently.
- Match families with donors based on donor preferences; communicate those matches and provide the wish lists to donors via email; secure commitment from donors to fulfill the wish lists, and manage all wish list related donor communications.
- Communicate regularly with the Director of Development around any and all donor or wish list issues ensuring that staff are well informed of anything that may impact a donor’s approach to fulfilling their commitment (for instance, if any donors are delivering directly to clients, if donors communicate about needing alternative delivery arrangements, if donors are going above and beyond with their giving, etc.
- Answer questions from staff and donors regarding Adopt-a-Family via email and in-person. Help coordinate information flow between all parties.
- Set up and manage a schedule through Calendly for donors to sign up to drop off gifts and for case managers to sign up families to pick up gifts.
- Set up storage units to receive and store gifts.
- Coordinate the receiving of gifts from donors and distributing gifts to families during gift drop-off and pick-up period (December 9 – 20), including providing oversight and support of volunteers and ensuring a pleasant and festive experience for donors and clients.
- Keep the gifts well organized and accessible, managing inventory at all times.
- Manage the process of securing thank you cards from each recipient family and ensuring the tracking and sending of the cards.
- This position requires many hours on your feet each day and the ability to lift and move boxes.
The Adopt-A-Family Project Manager should have these skills:
- Excellent communicator, both in-person and via email
- Excellent data management skill, skilled at managing many details and logistics
- Energetic and loves the holidays
- Passion for the mission of Compass Family Services
- High level of competency with Excel and Word or similar programs; experience with Salesforce preferred
- Ability to manage volunteers and interact with donors and clients
- Ability to lift at least 50 lbs. and spend hours on your feet
- At least one year of relevant work experience preferred, especially in customer service and/or project management
