What You’ll Be Doing:
The Administrative Assistant provides broad administrative support to the Boston and Atlanta department, including compiling reports, maintaining files, managing staff calendar(s), organizing travel arrangements, answering phones, and assisting with miscellaneous projects. May also perform some bookkeeping activities.
- Maintains calendars. Organizes meetings and sets up conference rooms. Organizes and arranges travel schedules and prepares Travel and Expense reports.
- Prepares and distributes reports and correspondence as needed.
- Answers and screens incoming telephone calls, provides assistance when possible, and routes other calls to appropriate personnel. Place calls as requested to obtain or provide information, schedule or confirm meetings. Initiates other calls as appropriate.
- Responsible for maintaining files, copying, mailings, faxes and overnight shipments.
- May open, review and distribute incoming mail. May directly handle matters that do not require specific attention of management and ensure other department personnel are informed where appropriate.
- May provide relief to other support positions during breaks, lunch and absences as needed.
- Assists office personnel including other Administrative Assistants with projects and correspondence as needed. Performs or assists in special projects as assigned by direct supervisor or other office management as needed.
- May transcribe memos/letters (from shorthand and/or dictaphone), type and proofread memos, letters and reports utilizing word processing software.
- Maintains confidentiality regarding personnel information and executive decisions.
- Represents the Company in a professional manner at all times. Consistently maintains a professional courteous attitude when dealing with residents, coworkers and the general public.
- Performs other duties as necessary.
What You’ll Need to Thrive:
- High school diploma and 3+ years administrative experience required.
- Excellent written and verbal communications skills necessary. Thorough knowledge of grammar, punctuation and spelling required to ensure that all documentation is prepared in an accurate, professional and timely manner.
- Must be able to follow through on projects, prioritize workload and organize details. Accurate typing of 60 wpm required.
- Ability to maintain a high level of confidentiality required.
- Small business bookkeeping experience and/or Accounting coursework preferred.
Machines, Tools and Equipment, Software:
Must have the ability to use a computer w/Internet and e-mail capabilities and office equipment such as a telephone, facsimile, and photocopier. Must have good working knowledge of Microsoft Word and Excel.
PHYSICAL AND VISUAL ACTIVITIES:
Ability to hear and speak well enough to converse verbally over the phone and in-person (expressing or exchanging ideas by means of the spoken or written word). Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and easily. Able to see well enough to use the computer effectively and read written communications. Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility. May be required to climb stairs depending on the property structure.
