The purpose of this position is to provide support services to receive and process customer requests for maintenance and repair of physical facilities. The Regional Call Center (RCC) receives service requests via email and phone call, obtains relevant information including a description of the problem or support required, location and contact information. The Management Assistant creates a work order in the Maximo 7.6 Computerized Maintenance Management System (CMMS).
The Maximo Management Assistant/Facilities Management Assistant is responsible for evaluating the request and determining if it should be categorized as routine, urgent or emergency and assuring appropriate and accurate input of job order number, work center, labor/craft code, failure class and problem code. The incumbent approves work orders and provides customers with Maximo auto-generated work order numbers for reference. Responsible for assuring requests have been correctly input into the CMMS and the appropriate dispatch center has been contacted in accordance with established Standard Operating Procedures (SOPs).
Essential Duties and Responsibilities:
The primary responsibilities of the position will include but not limited to:
- Review relevant information provided by customers to assure validity and accuracy of requests
- Evaluate customer requests to determine proper classification
- Create work orders in a computerized database (Maximo 7.6)
- Review Maximo input fields for correct data input
- Collaborate with customers and responsible associates to ensure requests/problems are submitted and processed.
Requirements
- Basic understanding of Facility maintenance and repair concepts
- Ability to follow administrative policies and procedures as directed to maintain and improve the efficiency of the RCC
- Demonstrated knowledge of computer systems and software related to administrative processing
- Proficient in the use of Microsoft Word and Excel
- Experience with or ability to learn Maximo 7.6
- Ability to multitask and communicate effectively
- Capable of interacting professionally with all personnel
- Must be able to attain adjudication for a favorable background check
Shift: Work will be performed 40 hours per week with schedule assigned to support the 24/7 mission requirement Sunday-Saturday.
