About the Department
Assisting the Academic Division with a variety of services and performing a variety of complex office/clerical duties in support of a department or area assigned which requires knowledge of a complete and specialized function.
Position Duties
- Assists the Division Chair and Division staff.
- Prepares and maintains faculty assignments.
- Schedules and maintains information on classes per semester.
- Creates and maintains purchasing orders.
- Assists with math contests and math boot camps.
- Addresses room and maintenance requests.
- Performs the full-range of administrative support duties in the assigned department; serves as a primary reference source for functions to assist students, employees and/or departments in resolving discrepancies or procedural problems utilizing knowledge of specialized functions; responds to technical administrative questions ensuring appropriate and necessary follow-up is performed; and may perform other tasks of a similar nature or level as assigned
- Provides information and/or training in policies and procedures and District practice and then applies to area of assignment; assesses situations to resolve student/instructor problems; personally, evaluates complex problems; and uses critical judgment skills to determine the type of action to be taken referring the most difficult situations to the proper personnel.
- Processes applications, assignments, students and faculty records and/or forms by verifying information, entering data into computer system, securing appropriate signatures, and forwarding to other departments and/or agencies for processing.
- Retrieves, receives and compiles data from multiple sources; compares information to verify accuracy and prepare informational and/or statistical reports detailing requisite data according to established guidelines; enters and updates course schedules across the District for assigned department or area; makes modifications as needed; organizes and transmits information electronically to other agencies and/or departments for processing; reviews reports and printouts to identify and trace data source and make necessary corrections when appropriate; performs technical or complex verification and reconciliation activities; tracks and monitors assigned departmental budget accounts; records expenditures; and generates specialized reports for assigned department.
- Confers with supervisor to prioritize work processes, plans, actions to be taken and appropriate work assignments/schedules for office; provides information; receives instruction and guidance; maintains supervisor and/or assigned departmental calendar; schedules appointments and meetings; arranges travel and lodging support for Division members when appropriate; manages multiple priorities and tasks simultaneously; and makes decisions according to established guidelines and procedures.
- Sorts and distributes mail; assists with the preparation of bulk mailings as required; maintains departmental bulletin boards; provides administrative support for departmental meetings; and may oversee the work of others for special projects or assignments to ensure that all deadlines are met and that the project is completed according to specific requirements.
- Performs other duties commensurate with functions and level of position or as assigned.
Minimum Qualifications
EDUCATION: Associate degree (60 credits).
EXPERIENCE: One (1) year of related experience.
SPECIAL POSITION CONDITIONS: None.
Background Verification: As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification. Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level.

- Knowledge of College policies and procedures pertaining to the area assigned.
- Skill in using basic mathematical and computational functions.
- Skill in using computer systems, hardware and software used in processing departmental College documents.
- Skill in reviewing documents and/or records for completeness, verifying accuracy and processing according to established procedures.
- Skill in providing information and training pertaining to the area assigned to students and staff.
- Skill in using modern office equipment, computer hardware, and software.
- Skill in organizing.
- Ability to multi-task.
- Ability to communicate effectively both orally and in writing and in the use of proper English and grammar.
- Ability to complete tasks according to established schedules and to meet deadlines.
- Ability to work independently and as a member of a team in accomplishing tasks.
- Ability to analyze situations, develop solutions and make independent decisions based upon established guidelines.

This is a pension system that requires mandatory contributions from the employee with a matching contribution from the employer. The 25-26 fiscal year contribution rate is 12.00%.
