Description
CONES Solutions is currently expanding our team and seeking a qualified Branch Office Specialist for our Bloomington, Illinois location. This part-time position plays a vital role in supporting our service department operations through comprehensive office management, parts coordination, and service dispatching functions.
As our Branch Office Specialist, you'll be the operational backbone supporting our Service Team. Our technicians repair commercial food equipment (coolers, freezers, ovens, fryers, steamers, dish equipment) and provide preventative maintenance. You'll coordinate these critical services by managing schedules, ensuring parts availability, and maintaining office systems.

- Schedule: Monday through Friday, 8:00 AM - 1:00 PM

Requirements
Primary Duties and Responsibilities
Administrative Functions
· Answer, direct, or take messages for all service phone calls across all offices
· Process collections, including credit card payments and customer account management.
· Enter new customers into the system and update existing customer information (credit rating, tax information, etc.).
· Reimburse petty cash expenses and maintain accurate petty cash management records
· Enter petty cash transactions on service order file room documentation
· Send completed paperwork and documentation to Moline headquarters
· Handle portal entries, including warranty claims and customer accounts receivable (AR)
· Resolve customer inquiries about service-related questions, orders, and invoices
· Take customer complaints and resolve when possible, or forward to appropriate personnel for all offices
· Investigate, evaluate, and suggest resolutions to service complaints
· Perform general cleaning and maintenance of the facility, including vacuuming, sweeping, dusting, mopping, emptying trash...
· Handle snow removal and ice melt application for areas under 2 inches
Parts Management & Inventory Control
· Generate purchase orders (POs) for technicians requiring local parts pickup
· Monitor and follow up on backorder parts status
· Track and manage open receipts for parts orders
· Coordinate shipping of return or warranty parts back to manufacturers or Moline based on origination
· Check-in and inventory "to go" cases for technician use
· Manage all receiving operations including:
o Parts inventory, scan and verify part numbers and quantities
o Freight deliveries and documentation
o Equipment designated for in-shop repairs
o Uniforms, floor mats, and other facility supplies
Service Coordination & Dispatch
· Track technicians via dispatch board and maintain real-time status updates
· Take service calls via phone or email for all offices and generate corresponding work orders
· Record, schedule, and track work progress of service technicians
Job Expectations
· Plan, direct, investigate, evaluate, schedule, dispatch, input, compile, and report on service information used for service records
· Maintain a high level of visual attention and mental concentration for significant periods of time
· Solve complex customer service problems and deal with numerous variables concerning customer and/or vendor accounts
· Analyze and interpret business transactions and parts inventory data
· Read, analyze, and interpret industry-related materials and technical documentation
· Communicate effectively with customers, vendors, and employees across multiple locations
· Coordinate complex logistics between parts suppliers, technicians, and customers
· Ability to sit for extended periods
· Ability to exert up to 20 pounds of force to move objects, including parts and equipment
Education, Training, and Experience Requirements
· High school diploma or equivalent certificate
· Prior work experience in an office/dispatching environment is preferred
· Prior experience with information technology tools and applications
· Experience with inventory management and parts coordination preferred
· Customer service experience in a technical or service industry preferred
