The Parts Advisor is responsible for efficiently managing the inventory, sales, and distribution of parts for heavy equipment. This role supports both internal service teams and external customers by ensuring the availability and accuracy of parts, contributing to the overall success of the dealership.
Requirements
Customer Assistance:
- Provide exceptional customer service by assisting customers in identifying and locating the correct parts for their equipment.
- Respond to customer inquiries, offering expert advice on parts compatibility and alternatives.
- Process parts orders from start to finish, ensuring accuracy and timeliness in fulfillment.
- Handle customer complaints and issues professionally, escalating to the Parts Manager when necessary.
Inventory Control:
- Receive, inspect, and organize incoming parts shipments, verifying accuracy against purchase orders.
- Maintain accurate inventory records and perform regular cycle counts to prevent discrepancies.
- Monitor stock levels and notify the Parts Manager of any shortages or excess inventory.
- Help manage returns and warranty claims for defective parts, ensuring proper documentation and communication with suppliers.
Sales Support:
- Assist with the preparation of parts quotes and provide pricing information to customers and the sales team.
- Support service technicians by ensuring the availability of parts required for repairs and maintenance.
- Promote additional parts and accessories to customers, contributing to the department's sales targets.
Operational Efficiency:
- Utilize dealership management software to process orders, manage inventory, and track shipments.
- Coordinate with the warehouse team to ensure that parts are stored and retrieved efficiently.
- Assist in maintaining an organized and clean parts department, ensuring that parts are easily accessible and properly labeled.
- Participate in continuous improvement efforts to streamline parts operations and enhance customer satisfaction.
Safety and Compliance:
- Adhere to safety guidelines when handling, storing, and distributing parts, including the proper use of equipment and tools.
- Ensure compliance with environmental regulations regarding the storage and disposal of parts and materials.
- Report any safety hazards or incidents to the Parts Manager and participate in safety training sessions.
Professional Development:
- Stay informed about new products, parts updates, and industry trends.
- Participate in training programs to improve product knowledge and customer service skills.
- Contribute ideas for improving parts department operations and customer service practices.
QUALIFICATIONS
- Basic knowledge of heavy equipment parts and components.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service abilities.
- Proficiency in using inventory management software and tools.
- Ability to work effectively in a fast-paced environment and manage multiple tasks.
- Basic understanding of safety protocols related to parts handling.
- Preferred Qualifications:
- 1-3 years’ experience in a parts department or similar role within the heavy equipment industry.
- Familiarity with dealership management systems and parts catalog software.
- Knowledge of heavy equipment repair and maintenance.
Physical Requirements:
- Ability to lift up to 50 lbs. and work in warehouse environments as needed.
- Standing, bending, and walking for extended periods during inventory counts or stocking activities.
- Ability to occasionally travel to local destinations for parts pick-up.
