Job Description
The Registrar holds a critical position within the university, leading a dedicated team that provides crucial guidance and support to the campus community on all matters related to student academic records, course grids and schedules, and academic calendars. This role involves management of academic records and enrollment processes while also ensuring that students, faculty, and staff have the resources and information they need to navigate academic policies effectively. This position fosters collaboration with faculty, administrators, and other stakeholders to enhance student services and ensure that all operational functions related to registration and academic records are executed effectively and efficiently.
A key responsibility of this position is serving as the lead for the Student Information System (Workday), where they manage important functions related to Academic Foundations, Records, Catalog and Curriculum, and Academic Progress.
Additionally, the Registrar serves as a key administrative leader responsible for providing leadership for the development and maintenance of computerized records and registration systems and plays a vital role in ensuring integrity, accuracy, and security of academic records for current and former students. Additional duties include coordinating graduation application evaluations, overseeing the issuance of transcripts and diplomas, and working alongside faculty and administrators to enhance student services and address policy-related questions.
The Registrar will ensure compliance with federal, state, and institutional regulations, enforce FERPA guidelines, and prepare vital internal and external reports on academic progress and institutional effectiveness. This role requires strong leadership, ability to mentor staff, excellent communication skills, and the ability to analyze and interpret data to support decision-making.

Plays a vital and extensive role as lead in the Student Information System (Workday) for Academic Foundations, Records, Catalog and Curriculum, and Academic Progress.
Percentage of time 55%
Creates and executes a distinct vision for the Office of the Registrar that enhances and advances the institution's academic mission
Provides direct oversight into supervision and management of all student records
Oversees, administers, and develops processes and procedures for registration and enrollment, ensuring they are efficient, user-friendly, and aligned with institutional policies. This includes streamlining workflows, implementing best practices, and providing support to students and staff throughout the registration cycle.
Works closely with academic colleges to optimize course offerings, room assignments, classroom space and inventory, and maximize enrollment capacities
Hires, supervises and evaluates the Registrar staff
Provides leadership for the development and maintenance of computerized records and registration systems.
Supervises the coordination, evaluation, and certification of all graduation applications.
Supervises graduation and certification of baccalaureate and graduate degrees, enrollment and degree verification, production of official transcripts and diplomas.
Collaborates with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration/records policy questions.
Assists in coordinating all special enrollments for Executive Programs, Dual Enrollment students, and others.
Collaborates and communicates with the Financial Aid Office staff and the Bursar on students' financial aid/tuition issues, as necessary.
Certifies student enrollment for external agencies.
Administers University degree audits.
Works closely with faculty to develop, implement, and maintain University catalogs and academic calendars.
Ensures University compliance with Federal and State educational laws, guidelines, and reporting requirements including FERPA as they relate to academic records and ensures the integrity, accuracy, and security of all academic records of current and former students.
Oversee grade processing, academic probation and suspension processing, and timely student notification.
Ensures that Registrar related updates are successfully incorporated in the Workday SIS.
Responsible for NCAA Certification process as school certifying official
Implement policies and procedures with regards to student registration and records, as agreed upon by the Faculty Senate.

Required Qualifications
Bachelor’s degree in applicable field from an accredited institution or university or an equivalent combination of education and experience.
Working knowledge of computerized student records systems
Five (5) years of progressive management experience in a Registrar's Office.
Excellent computer skills, including knowledge of relational databases and SQL, and a demonstrated ability to learn new software systems as needed
Extensive experience working with ERP/SIS databases
Experience working with the National Student Clearinghouse (NSC)
Ability to develop reports, plans and budgets.
Demonstrated knowledge of federal and state regulations.
Ability to formulate/operationalize regulations related to student records.
Ability to multitask and work cooperatively with others.
Excellent written communication, analytical, interpersonal and organizational skills.
A successful record of working with a large diverse student body, faculty, and staff.
Ability to collaborate effectively with college departments and cross-functional teams.
Demonstrate a positive attitude and ability to plan and adapt to change.
Preferred Qualifications
Master's degree in applicable field from an accredited institution or university or an equivalent combination of education and experience.
Seven (7) years of progressive management experience in a Registrar's Office.
Previous experience working with Workday's higher education student information system
Proven leadership and a successful record of interacting with professionals across disciplines
Experience with Ad Astera Course scheduling software
