Meeting & Events Coordinator, Kohler Hospitality

Opportunity

Coordinate and service medium profile, low profile and one day revenue producing group business while at the same time selling the resort and satellite properties at the best possible profit while ensuring complete guest satisfaction. Focused sales effort to maximize catering business throughout Destination Kohler and other Kohler Hospitality properties. Complete administrative duties based on group needs.  


SPECIFIC RESPONSIBILITIES 

Guest Focus:  

  1. Entertain clients on site during the sourcing (site visit) stage of proposal development. 

  1. Collaborate with Client to capture the vision and objective of their event. 

  1. Lead direction for staffing levels of cross functional teams (both internal and external) to deliver Five Star corporate events. 

  1. Demonstrate and act as mentor to Sales Coordinator associates.  

  1. Drive incremental revenue to the resort by promoting high margin programming; up-selling clients to exceed Food & Beverage minimums and adding incremental programming.   

  1. Serve as on-site contact during high-profile programming. 

  1. Partner with Corporate Sales team on pre-contracted site visits to increase capture rate of corporate events. 

 

Revenue Generation: 

  1. Partner with Client to achieve resort spend above contracted obligation: F&B selections, upgraded linens, event space upgrades, additional activity selections, guestroom upgrades and promotion of pre/post guest stays.   

  1. Deliver Five Star programming to increase rebooking rates.   

 

Operational:  

  1. Attend weekly Banquet & Event Order (BEO) and Resume meeting to drive scheduling and ordering assignments throughout the resort. 

  1. Participate in departmental coverage as scheduled.  

  1. Develop group quotes and negotiate with 3rd party product and service providers. 

  1. Communicate up to the minute client revisions throughout the resort to promote the guest experience and increase rebooking rates.   

  1. Create "resource library" for 3rd party vendors -- driving commissionable revenue to Destination Kohler or other Kohler Hospitality properties. 

  1. Conduct Post Conference Meetings with Client and internal sales team -- providing profitability analysis on programming to internal teams. 

  1. Participate in Manager On Duty Program – Morning, Evening & Weekend Coverage. 

 

Position Standards:  

  1. Provide monthly banquet forecast to accounting and banquet/catering teams. 

  1. Post audit program profitability via Master Bill actual spend in comparison to contracted obligation. 

  1. Within all established guidelines: 

  • Generate proposals/contracts for one day events. 

  • Deliver banquet events orders prior to group arrival. 

  • Deliver group resumes prior to group arrival 

  • Submit group rooming list prior to group arrival 

  • Follow up on all accounts receivable billing concerns. 

 

Administrative and Other Responsibilities: 

  1. Basic computer literacy. 

  1. Preparation of Printed Materials  - Menu Cards, Place Cards, Table Numbers, Vouchers, Luggage Pull Letters, Pre-Merge Group Resumes. 

  1. Complete department reporting.  

  1. Assist any team members when necessary. 

  1. Accomplish all other reasonable task as assigned by Meeting & Events Management.  

Skills/Requirements

  • Minimum of a high school diploma.
    College degree in Hospitality management preferred.
  •  Minimum of one to three years of Hospitality experience.
  •  Catering and meeting and event experience preferred.
  •  Knowledge of computer software to include Windows, Word, and Delphi is a plus.

The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location.
