The Administrative Assistant role is an exciting opportunity to join a collaborative team of dedicated professionals that service Bessemer’s ultra-high net worth clients from our San Francisco office. The Administrative Assistant will provide seamless administrative support to the Client Advisory Team.
Responsibilities:
- Optimum screening of incoming communications and routing for action and follow-up
- Professional communication with both internal and external contacts including significant client and prospect relationships
- Effective calendar management, well managed travel arrangements, timely and thorough preparation of expense reports
- Well proofed standard correspondence
- Support advisor teams with CMS transactions and other ad hoc requests
- Maintain Salesforce client records for the CA Team and manage external client mail merges, event invitations, and Salesforce reports.
- Preparation of client meeting books and pitch books
- Comprehensive organization of internal and external meetings as needed
- Retrieve and distribute mail, prepare FedEx shipments
- Establish effective working relationships with colleagues and external contacts and may be required to provide flexible support to other team members as required.
Qualifications:
- Bachelor’s degree required.
- 5-7 years administrative assistant experience. Financial services preferred.
- Proven ability to work well in and contribute to a team environment.
- Excellent organization and communication skills.
- Shows tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
- Demonstrates ability to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy.
- Has excellent attention to detail and executes responsibilities with a sense of urgency and follow-through.
- Candidate must be flexible and adaptable to rapid changes in the daily work environment and be resourceful in solving problems
- Excellent computer skills (MS Office Suite, Visio, etc.).
- Have proficiency in or willingness to learn company applications: Salesforce, DMS, Longview, Atlas, and CMS.
The base salary range for this position is $75,000- $95,000. Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role. It is not typical for offers to be made at or near the top of the range.
In addition, this position may be eligible for a discretionary incentive based on individual and company performance.
Eligible employees may participate in a 401 (k) program with a company profit sharing contribution, medical, dental, vision, life insurance and disability coverage and paid holidays, vacation, and sick days.
