PURPOSE

The Capital Projects Coordinator is responsible for all Fort Wayne Community School’s capital and physical plant improvement. The responsibility of this position involves oversight over planning, design, development, implementation and on time completion.  Our mission is to provide safe, welcoming facilities for all of the Fort Wayne Community. 

 

MINIMUM QUALIFICATION

  • Associate Degree  
  • Course work in finance, construction management, engineering, architecture or related field 
  • Three years' experience working with finance, construction management, design, materials and operations 
  • Bachelor's Degree preferred. 
  • Indiana driver’s license 

 

ESSENTIAL FUNCTIONS

Leadership 

  • Collaborate with the Director of Facilities as well as administrators, personnel, contractors, vendors and various outside organizations in the planning, development and implementation of all capital and physical plant improvement projects and related activities 
  • Participate in planning annual physical plant improvement projects 
  • Coordinate capital and physical plant improvement project activities with architectural, construction and maintenance staff and outside contractors 
  • Provide coordination between building alterations and maintenance efforts 
  • Monitor and evaluate progress of projects 
  • Develop, coordinate and maintain project timelines and priorities 
  • Inspect completed projects and contractor work for accuracy, completeness and compliance with established contracts, standards and specifications 
  • Provide technical assistance in guiding projects to completion 
  • Assist in determining project scope and feasibility 
  • Monitor and evaluate progress of construction and renovation projects 
  • Inspect completed projects and contractor work for accuracy, completeness and compliance with established contracts, standards and specifications 
  • Assist FWCS support services in developing short-range and long-range plans for facility modifications 

 

Communication and Support 

  • Coordinate regularly with the Director of Facilities to monitor project schedules, action items and team deliverables 
  • Estimate and provide technical support and expertise concerning labor, material and equipment requirements for projects 
  • Prepare and distribute appropriate team correspondence to include project summaries and reports 
  • Compile and prepare cost estimates 
  • Serve as a liaison and coordinate, evaluate and select projects 
  • Responsible for communication and information between FWCS support services, personnel, administrators, architectural and engineering consultants, outside agencies, contractors and various local and State organizations 
  • Coordinate architectural and engineering consultant services for FWCS capital and physical plant improvement projects 
  • Visit and serve as the FWCS representative at construction sites of capital and physical plant improvement projects 
  • Review contractor qualifications and provide assistance with contractor selection 
  • Review, evaluate, provide technical guidance to internal decision makers and provide recommendations/input concerning architectural and engineering plans, designs, drawings and specifications; estimate labor, material and equipment requirements for projects 
  • Prepare and maintain a variety of records, reports and files related to capital and physical plant improvement projects, costs, schedules, changes and assigned activities 
  • Research, compile, assemble and maintain files of specifications, plans, material samples, construction manuals and catalogs, and other technical support materials 
  • Coordinate warranties and conduct related project follow-up in accordance with warranty timelines 
  • Attend school board meetings to represent the Facilities Department for assigned projects 
  • Present information and materials concerning major capital and physical plant improvement projects 

 

 

Budgeting and Finance 

  • Ensure approved documents for capital and physical plant improvement are submitted in accordance with procedures 
  • Work with the Director of Facilities to assemble invoices in accordance with contractual and financial reporting standards 
  • Evaluate invoices 
  • Monitor and maintain all project and vendor files, to include project related documents 
  • Assemble and file financial records using physical or digital format, to include all vendor correspondence in accordance with department standards 
  • Identify, evaluate and resolve financial discrepancies and issues 
  • Input, upload and update a variety of financial and budgetary information on data systems tracking project budget and financial performance on assigned computer system 
  • Track specific contractual issues related to projects including documentation requirements, scheduling, scope, and regulatory activities

  • Knowledge of design techniques, tools, and principles involved in production of precision technical plans, blueprints, drawings, and models 
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources 
  • Knowledge of the specialized aspects of construction management 
  • Skilled at using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems 
  • Skilled at giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
