Position Summary: To assure the smooth and efficient operation of the Superintendent's Office and continuously improve efficiency and accuracy in the performance of job responsibilities.
Primary Objectives:
Perform general office duties including but not limited to answering phones and directing calls, responding to or redirecting emails, opening, processing, and distributing mail, preparing, typing and maintaining forms, reports correspondence, and memos.
Greet and assist visitors. Interact with others in a positive and professional manner with diplomacy and discretion.
Assist the Superintendent by reading, researching and routing correspondence, drafting letters and documents and collecting and analyzing information for reports, presentations and responses to inquiries.
Use computer/technology skills in performance of duties, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Update skills to ensure ability to use technology and implement new practices and procedures as they are developed.
Abide by federal, state and local school laws and regulations (FERPA), mandated programs, district policies, administrative regulations and applicable collective bargaining agreements with district employees and interested parties. Maintain confidentiality with all District and School Board information, including District and school population information.
Establish filing systems appropriate for office environment and in accordance with standardized records management procedures; retrieves filed documents and materials; maintains classified or confidential materials in accordance with security procedures; and transfers and discards files in accordance with established business procedures and schedules.
Perform duties for the Superintendent’s office; maintain Superintendent’s appointment calendar; prepare Superintendent’s incoming mail for his/her review and signs outgoing mail, when appropriate; maintain Superintendent’s confidential information; and place, receive, and screen telephone calls for employer.
Coordinate availability and attendance by necessary participants for special meetings, emergency meetings and the like and provides support in the preparation for these events and post-event activities, as directed.
Track schedule for district administrators.
Process travel requests.
Maintain process for student expulsion requests, AEP/SELF referrals, home schooling requests, school location exceptions.
Work with community partners for student participation in external educational programs.
Salary: $49,000- $57,000
Reporting Relationship: Superintendent
Education/Experience:
Bachelors Degree preferred
3+ years of administrative assistant experience required
Software Skills (training can be provided):
Infinite Campus, Frontline, BoardDocs, CSIU, MS Office suite
