Position Description
Dental Patient Representative plays a crucial role in ensuring smooth operations at the front desk of the dental schools Oral Health Clinic (OHC). This position involves managing incoming calls, scheduling clinical appointments for patients, providing customer service, and supporting the coordination of clinical activities. The ideal candidate will have excellent communication skills, be detail-oriented, and be able to multitask effectively in a fast-paced environment.

Major/Essential Functions
- Serve as the primary point of contact for incoming patients and families to TTUHSC El Paso’s Oral Health Clinic
- Greet all guests in a timely, courteous, and professional manner
- Provide accurate information to patients, students, and faculty in a friendly and professional manner
- Assist dental patients and families with all aspects of the check-in/check-out process
- Perform administrative tasks as needed/assigned (including but not limited to): answer phones, receive/deliver messages, triage calls, and scan documents
- Ensure the confidentiality of all patients, applications, records, and information received
- Ensure the financial integrity of patient services through insurance verification and collection of copays/deductibles
- Answer inbound calls and facilitate appointment scheduling
- Handle a high volume of calls with the ability to manage multiple lines effectively
- Ensure proper documentation of appointments, calls, cancellations, and reschedules in axiUm, the scheduling system
- Complete confirmation reminders to patients about upcoming appointments
- Coordinate and schedule clinical appointments for patients, ensuring accurate and timely scheduling of procedures
- Process all cash/credit transactions in an accurate and timely manner
- Working alongside dental students and faculty in a learning environment to maintain student chart audits and patient recall lists
- Handle patient complaints or concerns and direct them to the appropriate personnel when necessary
- Assist with training new front desk or call center staff as needed
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.)
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position

- Previous experience in a dental office
- Proficiency in dental scheduling software
- Previous experience interacting with patients
- Knowledge of basic dental terminology (CDT Codes)
