Job Summary
BASIC FUNCTION:
Under the direction of an Assistant Superintendent, perform highly complex and responsible secretarial duties; plan, organize and coordinate office activities and time to relieve the administrator of administrative and clerical details; organize and coordinate the flow of communications and provide information to callers, visitors and staff as appropriate.
DISTINGUISHING CHARACTERISTICS:
The Administrative Assistant performs broad, varied and highly complex secretarial duties in support of the Assistant Superintendent.
REPRESENTATIVE DUTIES:
Serve as Secretary to the Assistant Superintendent; plan, organize and coordinate activities to support the administrator in administrative and clerical details. E
Assist the Assistant Superintendent with organization of daily work schedules; interview callers by telephone and in person, including students, teachers, administrators, parents and the public and provide information or direct to appropriate personnel; provide detailed and technical information concerning policies and procedures according to established guidelines; assist other District personnel as necessary. E
Maintain library holdings at the Instructional Media Center including coordinating checkout usage of core literature and other materials between various sites. E
Maintain and track textbook and teacher support material inventory for the district, including inventory at school sites. E
Ensure all schools including the charter and home school programs have sufficient textbooks to meet their student needs. E
Purchase textbooks, consumables and teacher materials from vendors to supplement current adoptions and to support classroom instruction. E
Collect, compile, organize and disseminate data related to student achievement, staff development and other related areas. E
Assure timely communications between office and district employees; make phone calls to receive and transmit information; prepare memos, bulletins, letters, notices, Boar

EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school supplemented by courses in secretarial science or related field and four years of increasingly responsible and varied secretarial and clerical experience.
