JOB TITLE: Registrar 

DEPARTMENT: Academic Affairs 

REPORTS TO: Dean of Academic Affairs 

COMPENSATION: $18.00 - $27.00 

FTE: 1.0 Non-exempt 

 

POSITION DESCRIPTION 

The Registrar plays a pivotal role in the smooth functioning of Academic Affairs, serving as a key point of contact for students, faculty, and administration. This position requires meticulous attention to detail and strong organizational skills, coupled with an essential ability to interact effectively and empathetically with a diverse community. 


I. Academic Records Management & Reporting 

  • Maintain and Archive Comprehensive Student Records: 
  • Ensure the confidentiality of all student and parent records and information is maintained. 
  • Manage and archive academic information for all active, inactive, and withdrawn students. 
  • Maintain and update all student transcripts, including processing grade changes into Veracross and following up with Faculty regarding incomplete grades. 
  • Respond promptly and professionally to requests for transcripts from students, parents, alumni, schools, and other Taft administrative “offices. 
  • Maintain, and respond to requests for, all academic files, student records, and enrollment records. 
  • Process social security forms for students 
  • Notarize documents for students, faculty, and staff as required 
  • Act as an agent for the State of Connecticut and process Certificate of Age (ED-301 Form) working papers for students applying for summer jobs 
  • Respond to requests for education verifications 
  • Coordinate Academic Reporting: 
  • Assist the Dean of Academic Affairs and IT Director with four academic reports per year, including Achievement and Effort reports and other administrative correspondence. 
  • Prepare academic reports and schedules as requested. 
  • Prepare reports for Honor Roll, High Honor Roll, the Cum Laude Society, and Valedictorian and Salutatorian. 
  • Standardized Testing Support: 
  • Maintain records of all standardized testing for students. 
  • Assist the testing coordinator with PSAT/AP testing as necessary. 


II. Administrative Support & Event Coordination 

  • Support the Dean of Academic Affairs: 
  • Provide administrative support to the Dean of Academic Affairs as needed and directed. 
  • Assist the Dean of Academic Affairs in the preparation of, and set-up for, graduation, including the ordering of diplomas, preparation of prizes and plaques, and the preparation of the script and program for graduation. 
  • Assist the Dean of Academic Affairs with the Cum Laude Society, including preparation of certificates, report filing with the Society, and set-up for the induction. 
  • Assist the Dean of Academic Affairs with the Upper Mid Awards Ceremony. 
  • Assist the Dean of Academic Affairs with the student signing of the Academic Honesty pledge. 
  • Assist the Dean of Academic Affairs with course registration of new and returning students. 
  • Conduct an annual audit of Senior transcripts for graduation requirements. 
  • Faculty and Staff Support: 
  • Assist the Class Deans with reports on a quarterly basis and as needed. 
  • Assist in the preparation and organization of Committee Meetings. 
  • Assist and provide support to the Staff and Faculty as needed regarding academic information, serving as a primary resource and ensuring clear communication. 
  • Inter-Departmental Collaboration: 
  • Support the Alumni and Development Office as needed for Family Weekend and Grands Day. 
  • Operational Management: 
  • Maintain and update bell schedule to reflect the Taft daily calendar. 
  • Maintain and update new and returning students in Veracross. 
  • Coordinate meals and meal money for Faculty for Academic Field Trips. 
  • Order supplies for the community supply cabinet. 
  • Manage the school’s room reservation calendar 



MINIMUM DESIRED QUALIFICATIONS: 

  • Undergraduate degree preferred. 
  • Registrar experience preferred. 
  • Candidate should be a licensed Notary Public or must secure license within 60 days of hire  
  • Proficiency in Excel, Word, Google Docs, and database software. 
  • Experience with microfilm. 
  • Strong written and verbal communication skills are essential for effective interaction with all members of the school community. 
  • Strong organizational skills. 
  • Experience with Veracross or other student recordkeeping system preferred. 
  • This position requires exceptional attention to detail and a demonstrated ability to work collaboratively and empathetically with people in a diverse environment, fostering positive and productive relationships. 
  • Ability to handle short periods of high volume work near beginning and end of school semesters.
