Position Summary
Apex Skin is a rapidly growing, skincare facility that empowers employees to deliver exceptional patient experiences. The Aesthetic Associate/Medical Receptionist serves as the first point of contact for both aesthetic and medical patients, ensuring a professional, welcoming, and organized environment. This role balances front desk operations, patient coordination, and administrative tasks for both medical and aesthetic services while promoting treatments, products, and loyalty programs.
This is an hourly, Full-time 40 hour per week position. This position requires legal authorization to work in the US.
Essential Functions
- Greet and check in patients warmly and professionally for both medical and aesthetic appointments.
- Schedule, confirm, and reschedule appointments accurately across both departments.
- Answer and route phone calls, respond to emails, and manage text communications.
- Maintain a clean, organized, and presentable lobby and front desk area, including laundry as needed.
- Verify insurance for medical patients and ensure proper billing procedures.
- Collect and process payments for both medical and aesthetic services.
- Ensure all intake forms, consents, insurance forms, and documentation are completed accurately.
- Support providers by managing patient flow, prepping charts, and coordinating pre- and post-treatment care.
- Provide post-treatment instructions and follow-up calls when necessary.
- Assist with scheduling referrals and follow-up appointments for medical patients.
- Educate patients on current promotions, memberships, and loyalty programs (e.g., Allē, Alle Flash, Aspire).
- Recommend and upsell skincare products and aesthetic services during patient interactions.
- Track patient interest and follow up on leads or open consultations.
- Maintain accurate patient charts in compliance with HIPAA regulations.
- Manage bi-weekly/monthly inventory of skincare, injectables, and retail items.
- Place and track orders for retail and clinical supplies.
- Maintain accurate logs and reconcile daily transactions.
Requirements:
- 1+ year experience in a receptionist, patient coordinator, or front desk role (aesthetics or medical preferred).
- Professional communication skills (in-person, phone, and written).
- Strong organizational and multitasking abilities.
- Experience with EMR systems, booking software, and payment processing.
- Ability to work in a fast-paced environment with professionalism and accuracy.
