About the Role:
Reporting directly to the principal, the Main Office Secretary plays a vital role in ensuring the smooth daily operations of our school office. This position involves a variety of clerical duties, managing communications, and providing excellent customer service to staff, students, parents, and the public. The ideal candidate will demonstrate professionalism, discretion, and strong interpersonal skills while maintaining confidentiality and managing multiple responsibilities efficiently.
Key Responsibilities:
- Serve as the primary point of contact for visitors, parents, and staff with tact and courtesy
- Manage and update student and staff forms, packets, and records throughout the year
- Maintain all school calendars and update information on the school website
- Act as the PowerSchool System Administrator, overseeing student information, attendance, report cards, progress reports, and state reports
- Coordinate kindergarten registration each spring
- Schedule and manage the use of school facilities
- Handle school-wide communications, including emails, newsletters, and announcements
- Assist with planning and organizing key school events such as graduation and award assemblies
- Distribute and file all student records at year-end
- Complete all required state reporting accurately and on time
- Perform additional duties as assigned by the principal
Qualifications and Skills: - Proficient computer skills and experience with school management systems are preferred
- Excellent communication and interpersonal skills
- Ability to handle sensitive information confidentially
- Strong organizational skills and ability to multitask in a fast-paced environment
- Ability to maintain composure during frequent interruptions and stressful situations
- Physical ability to lift up to 20 lbs and prolonged use of the computer and telephone
Position Details: - Hours: 8 hours/day
- Work Year: 10 months (210 days)
- Start Date: June 20, 2023 (2 weeks of training), followed by summer break; resumes August 14, 2023
- Starting Salary: $25.00/hour
- Benefits: Health, dental, life insurance, pension, paid holidays, and time off
Additional Information: - This is a non-union position. The successful candidate will be required to sign an employment agreement outlining the terms and conditions of employment.
- The Main Office Secretary is expected to maintain a high level of professionalism, work collaboratively with school leadership, faculty, staff, students, and parents, and contribute positively to our school community.
- Employment is contingent upon the successful completion of all required background checks, including criminal and child abuse registry clearances, following state and district policies.
