Description
This position supports the procurement and inventory functions by assisting in the preparation of purchase orders and subcontracts within Procore, coordinating the delivery of parts and equipment to job sites, and helping manage project budgets and invoicing. The Procurement Coordinator plays a key role in ensuring materials are ordered accurately, delivered on time, and tracked properly to support active construction projects. This individual must be detail-oriented, organized, and capable of working closely with project managers, field teams, and accounting staff to maintain smooth material and financial workflows.
Duties and Responsibilities:
- Assist in writing and issuing purchase orders (POs) and subcontracts in Procore, ensuring accuracy in scope, pricing, and delivery terms.
- Coordinate with internal teams to ensure timely delivery of parts and equipment to job sites.
- Track and update the status of orders, deliveries, and backorders, and communicate updates to relevant team members.
- Support the invoicing process by reviewing vendor invoices for accuracy and matching them to POs and delivery records.
- Help maintain and update project budgets by tracking material costs and identifying discrepancies.
- Assist in organizing and maintaining inventory records, including receipts, transfers, and usage.
- Attend project coordination meetings to report on procurement and delivery status.
- Maintain accurate documentation in Procore, including uploading spec sheets, order confirmations, and delivery receipts.
- Support continuous improvement efforts by helping refine procurement workflows and documentation practices.
- Perform other duties as assigned.
Required Qualifications:
- Strong commitment to safety and consistent use of safe work practices.
- High school diploma or equivalent required; some technical training or relevant experience preferred.
- Clean driving record and valid driver’s license required.
- Previous experience in inventory management, warehouse operations, or material handling preferred.
- Basic computer skills, including familiarity with Microsoft Excel and the ability to learn project management tools (e.g., Procore).
- Perform physical tasks related to loading, unloading, and organizing materials.
- Familiarity with construction materials and job site environments is helpful.
- Strong attention to detail and willingness to inspect parts and materials for accuracy and quality.
- Good organizational skills and the ability to manage multiple tasks and priorities.
- Effective communication skills, including the ability to listen, follow instructions, and provide timely updates to team members.
- Dependable, punctual, and able to work independently or as part of a team.
- Willingness to contribute to continuous improvement efforts and follow established procedures.
- Positive attitude and a team-oriented mindset.
- Perform other duties as assigned.
Preferred Qualifications:
- Some college education in business, construction management, supply chain, or a related field.
- Experience using Procore or similar project management software.
- Familiarity with construction materials, equipment, and job site logistics.
- Exposure to budgeting, cost tracking, or invoice reconciliation.
- Ability to read or interpret basic construction documents or material
