About the Department
Under the supervision of the Recreation Manager(s), the Reservation Specialist will manage reservation and rental operations for all Parks & Recreation Department facilities, as well as other city facilities. This position emphasizes attention to detail, outstanding customer service, and effective communication with the public and city staff. Other duties will include performing administrative tasks, executing long term facility usage goals, and providing support to department special events and operations.
Position Duties
- Responsible for scheduling, coordinating, and implementing reservations of department and other city facilities.
- Responsible for managing facility reservations by developing rental procedures, rental checklists, and room layouts.
- Responsible for promoting, and advertising the use of department and other city facilities to the public, businesses, and other community organizations.
- Responsible for soliciting interest in facility reservations through target marketing, call lists, and responding to general inquiries to meet established revenue goals.
- Responsible for the ongoing evaluation of rental fees, and standards to ensure that revisions are made in response to demand or market adjustments.
- Exhibit a commitment to providing the highest level of customer service by responding promptly to customers, seek to understand their requests, and by providing accurate and informative information.
- Communicate effectively and courteously with the public, customers, and staff in person, in writing or telephone providing the highest level of customer service in all interactions.
- Responsible for performing tasks with care and thoroughness while checking work to ensure it is accurate and complete.
- Maintain a clean appearance at all Parks and Recreation Department facilities or events and be knowledgeable of all programs and activities.
- Prepare incident/accident/damage reports.
- Assist with community wide special events, and other department operations when needed.
- Must have flexible schedule to be able to work days, evenings, weekends and holidays (as necessary). This position is scheduled 25 hours per week.
- Perform light housekeeping and maintenance duties.
- Ability to carry, push, pull, lift or hold up to 60 lbs. of equipment or furniture.
- May be required to work in extreme weather conditions for activities and events.
- Sits for extended periods of time at desk using the computer preparing reports, schedules, flyers, etc.
- Other duties as assigned.
Minimum Qualifications
- Ability to use effective verbal and written communication skills with staff and public, as well as show effective leadership.
- Ability to use good judgment in handling complaints, altercations and emergency situations.
- Have a working knowledge of computer system and software, and copier.
- Skilled with written communications with a capacity for attention to details.
- Ability to be a self-starter and work with minimum supervision.
- General knowledge of various recreational activities.
- Preferred knowledge of Canva or other graphic programs, as well as Amilia SmartRec or other recreation management programs.
Other Qualifications
- High School diploma or GED required.
- CPR/First Aid certification or ability to obtain certification within 30 days of employment.
- Valid Texas drivers license.
